Major Functions

Determines if inventory is on hand and, in sufficient quantity.  Replenish inventory in accordance with inventory management system and metrics.  Update all pricing, interact with internal departments, and set-up new items as needed.


Specific Duties and Responsibilities

Monitor and maintain proper inventory levels for assigned vendors and items by reviewing backorder reports, inventory turn reports, and demand planning reports.

Ensure dead inventory is liquidated and prevented.

Review quantity discounts.  Determine most efficient order quantitie, balancing price brackets and order frequency.

Daily review of special order report to determine products to be purchased.

Place orders to designated vendors.

Obtain purchase order acknowledgements from vendors and review for accuracy.

Respond to all sales personnel and customer service inquires.

Research for customer service and sales personnel sourcing of special order products.

Perform timely maintenance and calculation of all price changes.

Notify all departments and branches of price changes prior to effective date.  Goal is 30 day minimum notice.

Notify all departments and branches of new and deleted items.

Search for slow moving inventory and adjust purchasing levels and/or return or liquidate product to maintain proper inventory levels. 

Ensure all open purchase orders are updated with accurate E.T.A.’s.  Regularly review open purchase orders and communicate with supplier to ensure timely receipt.

Respond to all damaged and short merchandise received by vendors.

Follow inventory control requirements.

Update daily backorder reports.

Set-up and assign items numbers for existing and new items.  Work with UPC process.

Analyze discrepancies on problem vendor  invoices.

Generally displays a courteous and helpful attitude in order to provide a positive experience for our customers.

Promptly follows up with customer after complaint to ensure they are satisfied with the action that was taken.

Regularly listens to customers in an empathetic manner, ensuring an understanding of questions, concerns and requests and their feeling associated with them.

Recommend potential departmental changes and improvements.

Assist all customer support departments in resolution of customer problems and satisfaction of needs.

Seek input from employees, supervisors and other personnel involved with the job.

The company may at any time change functions and requirements of the position to meet the needs of the business.

Perform additional duties and projects as assigned.


Required Qualifications


High school diploma or equivalent.

Level 2 --  2-5 years purchasing experience or 7 years in inventory control

Good working knowledge of computer (ie excel, word, outlook,  internet navigation and usage)

Excellent Customer Service skills.

Good mathematical and data entry skills (30 wpm).

Ability to work under pressure and meet deadlines.

Good verbal and written communication skills and problem solving skills.

Trustworthy, honest and respects confidentiality.


Desired Qualifications

o   Prefer someone with knowledge of the janitorial (jansan) industry

ADA Requirements

While performing the duties of this position, the employee sits, stands, bends, lifts, and moves intermittently during working hours.  The employee must occasionally lift and/or move up to 40 pounds.  Employee must be able to read, understand and input computer data as well as use the phone, computer, printer, copier, calculator and fax and do hand written reports.  Manual dexterity required for use of calculator, mouse and computer keyboard.

This position requires a 40-hour workweek but may exceed this time depending on weekly responsibilities and workload.  The employee works in a professional office setting with low to moderate physical impacts.  The noise level in the work environment is usually moderate.  The employee interacts with internal/external client service staff, managing directors, clients, vendors, visitors and facility management.

Regular and reliable attendance is a necessary element of the job;  and, attendance is an essential function of employment.
