Temporary Part-time HR Front Office Assistant
The University of St. Thomas, nominated by the Star Tribune as a Minnesota Top 100 Places to Work, invites applications for a temporary part-time Front Office Assistant to support the Human Resources Department.
Under general work direction, provides a variety of receptionist and office duties in support of the Human Resources (HR) Department. Serves as the first point of contact for the HR front office, attends to the appearance of reception area, and provides a welcoming environment. Establishes and maintains professional working relations with applicants, visitors, callers, email inquiries, and business professionals. Administers a variety of processes, enters data, and files/maintains paper and electronic documents. Responsible for the accurate and timely completion of auditing functions and assists with the operations of the student employment program. Assists with the preparation of materials for specific events and functions. Preserves confidential and sensitive material and situations as well as security of data and HR-related documents.
Assignments are characterized by an emphasis upon the processing of information or execution of defined programs/actions. Responds to a variety of inquiries requiring application of varied policies and procedures. Identify process improvements and assist with implementing new procedures to support all areas of HR. Perform other tasks, duties, and projects as assigned.
This position is not benefits eligible.
Hours: 20 hours a week with schedule to be determined. Preferred schedule would be Monday – Friday, 12:30 p.m. – 4:30 p.m.
Required qualifications: Ability to act in a professional manner, punctual and reliable, excellent customer service, strong organizational and communication skills, a high level of initiative, self-motivator, attention to detail, accuracy of information and data entry, apply common sense understanding and independent judgment in making decisions based on established methods and procedures. Ability to prioritize, multi-task and effectively meet deadlines. Ability to interact effectively with a wide variety of people, exercising tact and discretion. Basic knowledge and application of MS Word, Outlook and Excel, database navigation, and data entry.
High School Graduate or equivalent and two (2) years of clerical/administrative experience in a human resources department or related field. Some college coursework preferred. An equivalent combination of education and experience may be considered.
