MAJOR RESPONSIBILITY: Responsible for providing direct administrative support to Perspectives’ President/CEO, Board of Directors, and committees of the Board and at times provides administrative support to other agency executive staff when necessary. Position assists with the overall financial development of the agency by working with the President/CEO on the submission of grant applications, building relationships with donors and assisting with special event activities. Develops system for on-line prospecting for funding sources; e.g. federal, state and Foundations. In addition, position supervises the front desk staff.
JOB DUTIES: • Manages daily workflow of the CEO, scheduling appointments, committee meetings, maintains calendars, telephone calls, e-mails, incoming mail, and files • Coordinates grant submissions, compiles appendices and ensures timely submission • Develops layouts, charts and spreadsheets necessary for proposals; including formatting and creating attractive designs for proposals; e.g. cover pages • Edits grants and correspondence as needed • Writes thank you notes and other needed correspondence, letters, emails, etc • Serves as recording administrator at all board meetings and committee meetings. Prepares necessary meeting arrangements, conference calls, agendas, and discussion materials for distribution. Prepares meeting minutes and action lists • Ensures all of the Board of Director’s meetings and governance documents are up to date and filed • Manages confidential and sensitive information • Ensure timely filing of program outcome reports • Keeps the executive office organized, grant folders and board files up to date • Manages Board Committee rosters and calendars • Ensures there is a system for front desk coverage • Researches various information as needed
EDUCATION AND EXPERIENCE: 5 + years of experience supporting C-Suite • Formal training in practical computer applications, two-year degree in business, secretarial sciences, etc • Four-year Bachelor of Science degree or Bachelor of Arts degree preferred • Non-profit work, fundraising support and event planning a plus

Demonstrate professional courtesy at a high level and the ability to interact with a wide range of individuals from the CEO, Board of Directors, public officials and external executives • Positive and can-do personality; maintains highly professional demeanor • Strong team player; ability to motivate others • Exceptional time management, organizational and prioritization skills • Ability to work under tight deadlines, manage crisis and provide positive and effective leadership when necessary • Exhibits confidentiality in handling information that may impact the entire organization • Exceptional knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook) • Some availability outside regular business hours
