Responsibilities: The Payroll Specialist position ensures accurate processing of the company’s in-house, multi-state, bi-weekly payroll. Duties include payroll related data entry into the HRIS system, transmitting hours from the time and attendance system to the HRIS system where the payroll is processed, processing of employee wages, and verifying all tax related and benefit related deductions are accurate.  The position will also entail certain general accounting related responsibilities.


Essential Position Responsibilities:

  • Perform daily payroll department operations
  • Payroll related data entry for employees, i.e. W-4, direct deposit, garnishments
  • Manage workflow to ensure payroll is processed accurately and timely
  • Approve and release time within the time keeping system
  • Accurately process employee pay
  • Process correct garnishment calculations and compliance
  • Audit biweekly payroll before transmitting
  • Transmit all ADP interfaces – Unemployment, Taxes, Check Printing, ACH file
  • Balance tax information submitted by ADP for Federal, State, and local taxes
  • Run and audit payroll and benefit related reports
  • Process accurate and timely Biweekly, Quarterly and Annual payroll tax reconciliations
  • Process manual checks when necessary
  • Develop in depth understanding of Payroll Database to be able to create Ad-Hoc reports on demand
  • Employment verification requests
  • Assist with system upgrades
  • Provide customer service to employees and managers to resolve payroll related questions
  • Other month-end accounting/projects as assigned
  • General accounting responsibilities as assigned, including, but not limited to, payables/receivables data entry, journal entries and reconciliation of payroll and benefit accounts, and review of employee expense reporting system
  • Review/process manuals checks and garnishments
  • Responsible for all payroll tax activities (multi-state company), including compliance with local, state, and federal regulations
  • Responsible for payroll related audits; preparing schedules for work comp and 401k audits
  • Preferred Qualifications

    • College degree or equivalent experience
    • 4–6 years of experience processing multi-state payroll
    • Experience with in-house payroll systems
    • Knowledge of US payroll laws, rules, regulations, audit and internal control guidelines Working knowledge of Unanet time and attendance a plusExperience with ADP SmartComplianceAbility to adapt quickly to changeStrong written and verbal communication skills

Physical Requirements: 

Ability to sit and/or stand for up to 8 hour periods of timeAbility to look at a computer monitor, utilize a keyboard and/or mouse for up to 8 hours per dayAbility to lift up to 20 pounds as necessary
