The Executive Assistant is polished, detail-oriented, and well organized with a genuine passion to support the VP PBM/Payer/Pharmacy Sales and the VP EHR/IDN Sales and their teams and provide great service to the entire organization.  The Executive Assistant consistently interacts with others to facilitate alignment, trust and predictability.
 
Responsibilities: 

•Proactively manages extremely active and dynamic calendars of appointments; completing expense reports for the VP’s and their staffs, managing confidential correspondence, arranging complex and detailed travel logistics (including itineraries, confirmation of arrangements, agendas, and compiling documents) for travel-related meetings for the VP’s and their staffs.

•Plans, coordinates, and ensures the Executives’ schedules are followed and respected.   Provides 'gatekeeper' and 'gateway' role, creating win-win situations for direct access to the executives’ time and offices.

•Works closely and effectively with the VP’s to keep them well informed of upcoming commitments and responsibilities, managing priorities and following  up appropriately.

•Prepares conference room for videoconference and web-based meetings with other offices, organizes pre-meeting materials, and catering, as needed.

•Prepares and edits routine and advanced correspondence and presentations using a variety of Microsoft applications (PowerPoint, Excel, Word, etc.) including presentations and reports to all levels of management and external parties.

•Responsible for confidential and time-sensitive material •Manages/organizes physical and network-based files and documents

•Regular interaction with executives across the organization and their assistants to maintain communication on needs, etc.

•Coordinates department meetings and events (agenda, meeting minutes, etc.).

•Manages master functional calendar.
 
Qualifications: 

•High school diploma or GED required.

•5 + years of experience in administrative or customer service role required.

3+ years supporting executive level and teams required.

•5 + years of experience in office software applications, including MS Outlook, Visio, Word, Excel, PowerPoint required (advanced level desired).

•3 + years of experience supporting an organization’s Sales and Account Management functions.
