Our Client in St. Paul is looking for a Office/Admin Assistant for to help out with day to day tasks. This is a Contract position working about 25 hours a week!
Duties:
  • Open and close the center when others are not present as needed
  • Make coffee and replenish beverage room supplies as needed
  • Change water cooler bottle as needed
  • Fill, run, and empty dishwasher as needed
  • Change towels in bathrooms and kitchen weekly
  • Warmly greet all who come to or contact the center
  • Answer telephone calls and refer to staff as appropriate
  • Prepare meeting rooms as needed Office
  • Data entry of client information and payments received into QuickBooks and DonorPerfect
  • Prepare and make weekly deposit to Wells Fargo, and recording it in QuickBooks
  • Responding to organizational email as appropriate, or forwarding it to an assigned party for attention
  • Opening incoming mail daily, and forwarding items needing others attention appropriately
  • Prepare skeleton agenda for monthly staff meeting and send to all staff according to All Inclusive Calendar
  • Take minutes at monthly staff meetings and post them to Trello (or email them to staff designee to post there)
  • Process registrations for organizational events
  • Process payroll monthly using organizational written process - TBD
  • Copy, file, fax as needed
  • Order office supplies as needed
  • Provide support as needed to Board Finance Director with regard to year end tasks in QuickBooks and DonorPerfect
  • Adapt or create flyers, brochures, handouts as needed for staff in MS Publisher
  • Prepare and schedule Constant Contact emails to go out
  • Provide complete confidentiality about all Loyola business, including lists of directees, donors and conversations that may occur with directees before or after appointment at Loyola

Requirements:
  • Excellent customer service skills with regard to working with clients, staff, and board members of Loyola
  • Excellent written and oral communication skills
  • Excellent attention to detail
  • Data entry experience
  • Competency using MS Word, Excel, Publisher, QuickBooks, DonorPerfect
  • Ability to prioritize work and ask for deadlines as needed
  • Respect for a wide variety of faith experiences and expressions
  • Confidentiality, integrity and honesty
