Our Client, world leader in medical devices is currently seeking a Administrative Assistant in Fridley, MN. Independently performs complex and diverse administrative duties. Activities include supporting the Senior Clinical Research Director, Managers and Individual Contributors in Neuromodulation Deep Brain Modulation and Operations. This position will have visibility to critical and time sensitive information requiring considerable use of tact, diplomacy, discretion and judgment to the Clinical Research function. This is a short-term contract opportunity!
  • Serve as a key point of contact for other Medtronic departments, geographies and customers on behalf of the Senior Clinical Research Director
  • Manage complex calendar, scheduling and travel plans
  • Manage scheduling of meeting series for weekly, biweekly and monthly meetings.
  • Provide meeting coordination and support for large and small meetings including ensuring presentations are completed and on department shared drive in advance of meeting
  • Ensure meeting materials or materials for review are obtained from appropriate website, e-mails or calendar appointments are printed and provided in advance of meeting with appropriate time for review
  • Coordinate and integrate inputs from multiple individuals into a singular document for distribution with minimal oversight
  • Communicate with customers, senior leaders and department employees ? communicate verbally, in writing ? and maintain confidentiality
  • Multi-task and manage through issues proactively. Provide appropriate information to Senior Director and contacts (handle questions, issues and follow ups)
  • Assist in preparation of word document, spreadsheets and presentations
  • Handle telephone roll-over calls for group (internal and external)
  • Maintain filing systems, order supplies and equipment and manage expense reporting
  • Create and maintain rosters, manuals, reports access rights, presentations, status reports
  • Lead specific projects as assigned
  • Apply knowledge of business and department objectives and priorities
  • Serve as an information resource on organizational practices, policies and procedures
  • Ensure personal understanding of all quality policy/system items that are applicable to the department
  • Follow all work/quality procedures to ensure quality system compliance and high quality work
  • Maintains a high level of consistency through all work processes Basic Qualifications

  • High School Diploma or equivalent.
  • 5+ years of administrative experience. Desired/Preferred Qualifications
  • Frequent use and intermediate/ advanced knowledge of word processing, spreadsheet and graphics presentation applications, electronic meeting/calendar coordination, travel planning, and budget/cost center management.
  • Strong attention to detail
  • Strong interpersonal skills
  • Two or four year degree or vocational training
  • Advanced phone system experience Physical Job Requirements
