Part Time Adminstrative Assistant :
Humera is looking for an Administrative Assistant III for our client in downtown Minneapolis. Our client is a company that provides food, agriculture, risk management, financial and industrial products and services around the globe. The candidate in this position will be assisting with the corporation's foundation. Position is part-time, usually 2 days per week. This is a contract opportunity!
Duties:
  • Provide administrative support as needed to tenants in the office, including executives.
  • Provide back-up support to corporate head when admin is not in the office due to illness, vacation (usually 5 day blocks of time), or other short-term commitments. Learn admin's primary job responsibilities and understand office practices and procedures.
  • Understand/learn the computer and phone systems; handle routine email correspondence, create documents, and respond to routine calls and voice mails.
  • Perform various administrative tasks such as typing, filing, mailing, copying, computer-based searching, ordering supplies, and scheduling appointments, meetings & travel. Assist with other tasks in the office such as making coffee, picking up mail, being a receptionist for guests and callers.
  • Support the corporations foundation as needed, including:
    • Help maintain accurate/current files for all active donees
    • Update foundation directory of donees as needed
    • Help with record-keeping and ensuring tax-compliant records (e.g acknowledgement letters, 501(c)(3) status on file)
    • Help create other files/reports and research other topics of interest to the foundation
    • Help prepare letters, spreadsheets, and presentation materials as needed
    • Support foundation-related tasks as needed, such as meeting prep, updating financial information, sending checks and letters, etc.

Requirements:
  • Ability to work with sensitive and confidential information/documents
  • Working knowledge of and experience with Microsoft Office suite
  • Very good oral communication, listening and phone skills
  • Well organized, detail oriented
  • Professional attitude
    Preferred skills:
  • Speedwriting or shorthand
  • Ability to take dictation
