ACCOUNTING DEPARTMENT GENERALISTPosition DescriptionThis position is responsible to perform Accounts Payable functions to produce weekly payments to vendors. Maintain effective and timely communication with vendors, and internal customers. Assist with the preparation of journal entries, account reconciliations, analysis and other month-end close tasks as assigned. Under general supervision of Facility Operations Manager, oversee daily building operations, facility services requests, furniture moves and repair, records management, and vending services; including HVAC, security, janitorial, floor cleaning, sound masking, and vending.·Review and enter Accounts Payable invoices and payment requests into Oracle. Responsible for managing incoming Accounts Payable email.·Respond timely to Accounts Payable inquiries and issues. Interact and develop effective relationships with vendors and UCare staff who interact or are impacted by the Accounts Payable department. ·Oversee daily building operations and assure facilities continue to be well maintained and attractive. Serve as liaison with property managers and building maintenance staff on reporting and scheduling building service, maintenance, and grounds projects. Ensure maintenance schedules are sufficient to keep buildings in good repair.·Ensure building access and security camera systems and after hours security monitoring service are in good working order. Serve as liaison with technical staff, troubleshoot system issues, and schedule service and repair as required.·Respond and resolve daily facility service requests to ensure internal and external customer satisfaction. Schedule and track external vendors to ensure timely completion of facility work orders.·Schedule routine furniture repair and reconfiguration projects and provide direction and oversight to installation staff. Assist in the planning, coordination, execution of larger scale office move and reconfiguration projects.·Ensure record retention process is current and record coordinators and mail services staff are trained and follow the process. Collaborate with Compliance department to coordinate UCare's annual records cleanup event.·Ensure basement storage areas are organized, that furniture component inventory is current and that record coordinators maintain their assigned shelving areas in an organized and efficient manner.·Maintain department procedures and policies.·Maintain high quality of service to internal and external customers.·Other projects and tasks as assigned.EducationHigh school diploma or equivalent required. Two year degree or certificate in Business or Accounting; demonstrated experience may be considered in lieu of degree.Required ExperienceExcellent PC skills including Microsoft Word, Excel, Outlook, and PowerPoint.Preferred ExperienceExperience in healthcare and databases.
