CLERICAL ASSISTANT - CLINICAL SERVICES

 

Position Description

Collaborate with Clinical Services staff to provide administrative functions and project support for Care Management and Operations and Training staff.  Specific duties and responsibilities include:

Understand applicable policies and procedures of the Clinical Services Department.

Provide clerical support for the Care Management, Disease Management, and Operations staff, including coordinating meetings, survey prep and processing, calendars, arrange conference rooms, finalize agendas, and take minutes.

Assistance with orientation of new Clinical Services staff. Review and provide training on Microsoft Outlook, fax/copier, login and password introduction, and HUB navigation.

Run Access and Excel data base reports and distribute.

Coordinate mailing projects both internally and externally.

Coordinate, prepare, and verify daily regulatory required member and provider outbound correspondence.

Order office supplies and maintain departmental supply inventory.

Complete new employee Onboarding Requests, supplies for new employee workstations, schedule system trainings, and meet with leadership to develop initial 2 week training/orientation work schedules.

Register all CLS employees for external seminars and conferences. Assist with travel arrangements as needed.

Ensure meeting rooms and materials are prepared for Care Management meetings.

Provide backup assistance to other department assistants in the Clinical Services Department.

Assist with incoming departmental mail distribution. Verify departmental printers are free of PHI information at the end of each day. 

Complete monthly corporate card statements and assist staff with expense report procedure. 

Knowledgeable in Amisys and CCMS to search for member information. 

Other projects and duties as assigned.

Education

High School graduate or equivalent. Completion of 2-year secretarial program or college preferred.

Required Experience

Two years' administrative/clerical experience. Extremely proficient PC skills required.  Experience in PowerPoint, Excel, and Microsoft Word.

Preferred Experience

Experience in health care or managed care setting preferred.  Project management experience a plus.  Experience in Visio and Access.
