We are seeking a Senior Level Executive Administrative Assistant to support our clients Nutrition Group Leader (this is similar to a division President) and one or two members of his leadership team. Our client is a global animal feed company that has 22,000 employees and is based in 37 countries. This is a 3 month contract opportunity.

This position assists with daily workflow management for the leaders including heavy email management, complex scheduling and calendar management, complicated global travel coordination, meeting/event organization and other administrative duties as requested.

This position plays an important role in representing the Group Leader and the leadership team through a high level of professionalism in administrative, organizational, technical, and communication skills.
This role is responsible for enhancing the leaders' effectiveness by providing support in information management, communications administration, calendar management, meeting/event coordination, and researching and compiling data/information as required.
This position is a member of the Global Office (GO) Administrative team and collaborates/partners on GO events/projects, etc.
Duties:
30% - Project Coordination -
This role is responsible for the coordination of regular CPN Leadership meetings, including managing/preparing meeting content, event planning, logistics, etc.
In addition, this role is also responsible for coordination of company-wide events, assists in the planning of events with global participants coming from all over the world.
Management of logistics, coordinating accommodations for guests/speakers, coordinating conference space, audio-visual needs, meals, entertainment, etc.
Other event planning support as required.
20% - Calendar Management -
Strong calendar management for the leaders who have a very active calendar and schedule.
Providing the necessary support to manage requests, appointments, deliverables, etc.
20% - Communications/Presentations -
Assisting with presentation materials, leadership communications, and other documents as required with a high degree of accuracy and attention to detail.
20% - Global travel coordination -
Plan and coordinate travel for Group Leader and CPN GLT members.
Manage multiple passports, visas, global entry, corporate security, corporate plane, and BCD profile
10% - Other duties as assigned

Requirements:
Required Qualifications
  • High school diploma, with post secondary education preferred.
  • 6+ years C-suite or senior level administrative experience, supporting senior leadership. Strong MS Office proficiency - specifically strong in Outlook, Word, Excel, and PowerPoint.
  • Strong knowledge of web based communication tools - Skype, WebEx.
  • Excellent verbal and written communication skills that demonstrate a high level of professionalism.
  • Strong organizational skills and the ability to manage multiple priorities and deadlines. Strong attention to detail.
  • Ability to manage frequent calendar, schedule, and travel changes with a high degree of efficiency and professionalism.
  • Ability to work independently but also a strong team player, willing to help out when and where needed.
  • High degree of professionalism, access to highly confidential information so the ability to manage inquiries, face out, etc. is critical.

    Preferred Qualifications
  • Basic understanding of international travel requirements but will not be managing the travel for these leaders.
  • Previous experience providing administrative support to international managers or leaders.
  • Senior level administrative experience for Corporate or BU leadership teams preferred.
  • Previous experience in a global business.
