Washburn Center for Children has an opening for a full time Information & Database Coordinator. This position will develop, refine, and maintain exceptional data tracking and reporting systems to support continually improving the quality of services provided at Washburn Center and will meet contracted and grant-related reporting requirements to help ensure children we serve make progress toward improving their functioning behaviorally, socially, and emotionally.

Responsibilities

Database Management – The Information & Database Coordinator position will manage databases including:

  • Database and reporting management and coordination for all Agency programs
  • Create and conduct reporting for Agency-wide outcomes to CASII, ECSII, SDQs, and Satisfaction Surveys which are used to show our clinicians are able to make progress toward goals for each child to improve their ability to function behaviorally, socially, and emotionally
  • Coordinate data collection, data entry, program reporting, and outcomes completion tracking using the electronic health record (EHR) and multiple Access databases, including the Outcomes, School-based, Outreach, Treatment Plan, and DT Restrictive Procedures databases
  • Act as “Help Desk” to program support staff when questions arise around the use of all Access databases
  • Provide and coordinate data analysis necessary to support program support and clinicians
  • Partner with the Database & Process Improvement Coordinator to refine and develop systems to improve efficiency, completion rates, and reporting capabilities to show the progress clinicians have made with clients to remain compliant with contracts and apply for grants
  • Complete database tasks as identified by the Database & Process Improvement Coordinator including but not limited to adding new clinicians and NPI information, daily EHR importing, and Training Institute data transfers
  • Be a back-up for Program Support staff and the EHR Coordinator for running monthly and bi-monthly reports
  • Manage client service databases and client service reports, including but not limited to: training new Program Support, regular audit meetings with program supervisors, auditing Program Support work, and preparing for new year
  • Partner on the EHR Transition Team to research and implement EHR solutions, improvements, and updates in order to support clinicians in minimizing administrative burdens

Recordkeeping and Reporting –This position will help ensure clean data by doing the following:

  • Manage collection and manage agency-wide consultation and supervision logs and plan details to help clinicians obtain independent licensure and comply with contract requirements
  • Create and resolve database issues as needed
  • Enter accurate data for continuing education requirements, Supervision Logs, and Consult Logs
  • Enter information from outcome reports including but not limited to CASII, SDQ, and Satisfaction Surveys

Other Administrative Support – This position is required to:

  • Attend twice monthly Program Support Meetings
  • Attend twice monthly EHR meetings
  • Attend the QA portion of the Clinical Supervisors meeting
  • Participate in Agency projects as needed
  • Assist Chief Executive Officer and the leadership team with other duties as needed

Qualifications

Bachelor’s Degree in health information management or a related field is required. One year of experience in information and database management in a healthcare setting is required, with 3-5 years of experience desired. Must have experience using Microsoft Access or another similar database system. Experience using an electronic health record system preferred.
