Position Description

This position is responsible to coordinate material projects from start to finish. Ensure production of materials follow UCare processes for quality standards, approvals, and distribution. Confirm production schedules align with regulatory and UCare timeframes. Provide routine reporting of project status.

·Consult with internal stakeholders for printing and mailing needs on an ongoing basis. Ensure print quality, cost effectiveness and timely distribution. Provide production status updates to material business owners and other staff associated with the project. Consult with manager on internal or external production issues that affect timing, quality, distribution, or cost.

·Process project requisitions for materials (electronic, print and mailing) through the Requisition Application System (RAS). Document new projects in the Master Materials List (MML).

·Coordinate system set up of electronic versions of materials for portal access.

·Coordinate printer's proof reviews. Work with the Communications Team and material business owners to obtain approvals prior to printing or mailing materials.

·Collaborate with suppliers to ensure adequate quantities are printed and available for distribution when needed.

·Follow established procedures to ensure regulatory and company requirements are met for all materials, including the organization's member materials process maps.   Follow established procedures to perform quality assurance checks on required materials.

·Serve as UCare materials production coordinator for printers and mailhouses. Develop and maintain positive working relationships between UCare, print and mailhouse vendors.

·Subject matter expert on postal regulations and requirements. Coordinate mailings and review/approval of mail pieces with USPS prior to print. Work with printers and mail houses to ensure timely delivery.

·Other projects and duties as assigned.


Bachelor's degree in communications, advertising, graphics, or a related field; demonstrated experience or coursework may be considered in lieu of degree.

Required Experience

Two years of materials coordination experience in a corporate graphics or print production environment. Two years' experience facilitating large volume mailings involving multiple documents. Two years' experience working in databases. Working knowledge of mail piece requirements. Proficient in Microsoft Office. Experience with Adobe Acrobat Professional. 

Preferred Experience

Materials coordination in a health care organization.
