Administrative Assistant / Office Management
Organization Summary: Alpha Human Services, Inc. is a nationally recognized community corrections treatment program located in the Uptown area of Minneapolis. We are a private, non-profit corporation licensed and certified by the Minnesota Department of Corrections. Our programs provide both residential (23 beds) and outpatient treatment for those having committed sex offenses.
Alpha's mission is to provide rehabilitative treatment for sex offenders, their families, and sexual abuse victims; to alleviate the pain and suffering caused by sexual abuse; to reduce or extinguish the occurrence and recurrence of sexual abuse; and to be an educational resource for other agencies, government, and society. This position supports a group of licensed psychologists, social workers and administrative staff in a residential mental health setting and provides front desk support in an outpatient mental health setting.
Primary Duties and Responsibilities: Proofing and sending client monthly progress evaluations, termination summaries and correspondence for therapy staff as well as purchase orders for the business office. Copying, faxing, filing, ordering supplies, coordinating service and maintenance of office equipment, and other general office duties. Maintaining client files including closing files, updating database, and storing of files. Responding to subpoenas, court orders, and release of information forms concerning current and former clients. Special incident reporting to the MN Department of Corrections. Six hours per week of front desk duties include collecting and receipting client co-payments, completing service sheets, and updating client payment notes. Program and administrative responsibilities also include fostering and maintaining a healthy Quality Assurance program.
Experience and Qualification Requirement: Proficiency with Microsoft Word, Excel and Outlook. Typing 60 words per minute, proof reading skills and knowledge of grammar. High attention to detail and accuracy. Previous office experience especially in a mental health setting preferred. Ability to interact effectively with many different people and communication styles.
