Humera is looking to fill a Part Time Receptionist position for our client in Eden Prairie. This is a long term contract position.

The Receptionist is responsible for maintaining the various work areas of the office and keeping them stocked with supplies. The Receptionist's duties will be varied in addition to routine daily responsibilities.

This position utilizes knowledge, skills and common sense to accommodate the fast-paced environment of our office.
Duties:
    Essential Duties and Responsibilities include the following:
  • Answering telephone with 2 incoming lines and using voice mail system; call volume is 8-10 calls/hour on the average
  • Greeting guests, issuing visitor badges, offering beverages
  • Processing invoices using Esker document automation & order management software program
  • Typing various office documents as needed using Microsoft Office Windows 2010
  • Scheduling and preparing conference/meeting rooms for meetings and clean-up following the meetings
  • Maintaining orderly areas for lounge and conference rooms, and stocking mini-refrigerators
  • Ordering lunch for management meetings and other occasions, including lunch set-up and clean-up
  • Ordering the monthly employee lunch and birthday cake
  • Managing SharePoint company calendar and company phone directory
  • Monitoring usage and placing orders for supplies and consumables
  • Updating Daily Welcome Board with messages, as well as Lab welcome board during customer meetings
  • Addressing and mailing monthly birthday cards using label maker
  • Other duties as assigned
  • Adhering to attendance and punctuality standards
  • Being well-groomed and professionally dressed
  • Assisting with projects as needed using such programs as Word, Excel and End Note.
  • Preparing packages/letters and contacting courier service for pick up
  • Coordinating taxis/transportation as requested
  • Following through on assigned tasks, working independently, completing work on time
  • Following instructions and management direction, displaying a cooperative and positive behavior
  • Maintaining good working relationships with all internal and external contacts in a tactful and courteous manner

Requirements:
    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Microsoft Office Suite with intermediate level skills in Excel
  • Microsoft Outlook; proficient using Calendar for scheduling meetings and conference rooms
  • Strong organizational skills are essential
  • Ability to multi-task
  • Detail-oriented
  • Ability to lift up to 20# from waist to floor and floor to waist
    Education and/or Experience:
  • A minimum of 3-years office experience is required.
  • High School Diploma or GED
    Language Skills:
  • Strong telephone skills
  • The ability to communicate verbally and electronically with all levels of the organization
    Reasoning Ability:
  • The ability to prioritize project workload and to problem solve when dealing with difficult situations
  • The ability to communicate effectively
  • Strong attention to detail
  • The Receptionist must be visible and accessible in the work environment while demonstrating varying degrees of independence, judgment and discretion

Schedule:
    Part Time
    Weds - Fri
    7:45 AM - 5:30 PM

    This is a shared Part Time position with one other person.
    Schedule flexibility will be necessary for coverage when the other person is out of the office.
    Also, there may be times when both part time receptionists will be needed to complete a project.
