Washburn Center for Children has an opening for a full time Staff Accountant. This position will be part of the finance team. The position has responsibilities for payroll, accounts payable, cash receipts, general ledger entries, and intermediate level reconciliations.

Responsibilities

Payroll – This position will have responsibilities for payroll preparation, entry, and closing the payroll cycle. The responsibilities include:

  • Ensure all timecards are submitted and approved by interns, employees, and supervisors
  • Coordinate and schedule the processing of payroll in a timely manner with the HR team
  • Calculate and enter changes to employee pay in ADP based on information from supervisors and HR, including new hire entry, merit increases, and other various compensation plans
  • Enter other pay information as necessary including various types of bonuses
  • Calculate final pay checks and payouts at employee termination
  • Monitor, calculate, and update leave accruals within ADP to ensure correct balances for all employees
  • Communicate payroll information with staff as necessary
  • Provide timecard training for new staff and supervisors
  • Maintain a knowledge of and attend trainings regarding all aspects of the electronic payroll system

Accounts Payable – This position will be responsible for various tasks throughout accounts payable including:

  • Set up and maintain the AP system
  • Process invoices for payment on a weekly basis
  • Coordinate processing and distribution of checks
  • Enter all EFT/ACH payments in the Great Plains system
  • Accrue for known and expected expenses
  • Reconcile open vendor payables on a monthly basis
  • Update and maintain accounts payable and purchasing procedures and policies to maintain controls, efficiencies, and accuracy
  • Maintain all accounts payable records
  • Effectively communicate accounts payable deadlines, updates, and changes as necessary to the agency

Cash Receipts – The Staff Accountant will process cash receipts including:

  • Enter deposits into the appropriate bank accounts daily
  • Receive and enter remittances from the front desk into Great Plains
  • Review EFT deposits and communicate the information to the Billing team
  • Review and reconcile credit card information and transactions
  • Ensure all deposits are entered into Great Plains

General Ledger Maintenance – At the end of each month, the Staff Accountant will work with the Senior Accountant and Controller to maintain the general ledger including:

  • Create and enter recurring journal entries each month end
  • Reconcile balance sheet accounts as assigned
  • Distribute monthly financial statements
  • Coordinate and manage filing of month-end transactions and reconciliations
  • Provide ledger information to the Controller as needed

Teamwork and Collaboration – The Staff Accountant is expected to work as part of the Finance team as well as collaborate with teams across the agency, including:

  • Attend and participate in Finance and Payroll team meetings and other agency meetings as necessary
  • Serve as a backup support for the Senior Accountant
  • Perform team projects as needed

Professional Development – Each staff member at Washburn Center is responsible for their own professional development. The Staff Accountant will:

  • Stay up-to-date on current accounting and finance trends and best practices through various forms of training and information sources
  • Be aware of other ways to develop skills and knowledge pertaining to the position including non-profit operations and finance management

Qualifications

A Bachelor’s degree in accounting or a related field, or a combination of an Associate’s degree with at least 4 years of experience in the field is required. Candidates must have knowledge and experience with monthly accounting cycles and procedures, have a high level of ethics and integrity, as well as possess excellent analytical problem solving skills. A high level of attention to detail and organizational skills as well as the ability to prioritize and manage multiple tasks with conflicting deadlines are vital to this role. Must have experience working with the Generally Accepted Accounting Practices (GAAP) and statements set by the Financial Accounting Standards Board (FASB). Must have intermediate to advanced proficiency in Microsoft Excel. Experience within a non-profit, mental health or health service accounting department preferred. Experience using ADP payroll and human resources system and Great Plains Dynamics software desired.
