Humera is looking for a Meeting and Events Coordinator for the Business and Marketing Department for our client in Downtown Minneapolis. Our client is an is an Fortune 100 law firm with offices located throughout the U.S., and offices in Asia and the UK. This is a 5+ -month contract opportunity!

The purpose of this position is to manage and execute firm, market-level, group, and industry team events. You will be working with professionals, Director of Events and client liaisons to identify and capture goals and objectives for events, client entertainment and sponsorship events. You will also lead event meetings by making recommendations and providing regular status updates to professionals and client liaisons throughout the process.

Your main job duties will include, but are not limited to: :
  • Develop, execute and monitor project plans, budget and timelines as well as marketing and communications plans
  • Manage and execute all aspects of assigned events to ensure consistency across events and implementation of best practices
  • Plan all aspects of the event from concept to completion including but not limited to venue research and site selection, vendor contracts and negotiation, food and beverage planning, audio visual management, ground transportation and attendee registration development and management
  • Lead event meetings with client liaisons and professionals by making recommendations and providing regular status updates to professionals and client liaisons
  • Create and manage onsite event schedule including onsite staffing; travel on site to events as necessary
  • Build event invitation/ registration site and coordinate all attendee communications
  • Coordinate production and distribution of meeting materials
  • Draft and coordinate communications to planning committees and work with outside sponsors and speakers
  • Work with communications team to develop PR and social media plans
  • Provide attendee and budget updates to client liaisons and lead professionals throughout the planning process
  • Track and report on event metrics for post event report and invitation/attendance metrics and produce final event report and distribute to appropriate audiences
  • Create electronic follow up communications including event survey and other materials to be distributed following the event
  • Work with groups and client liaisons to identify topics and speakers; coordinate with speakers and sponsors on logistics and planning for the event
  • Work with client liaisons and professionals to define and identify target audience for the event and target invitation lists
  • Work with Director of Events and client liaisons to develop individual event budgets, track expenses and manage overall event budget and create final budget vs. actual expense report
  • Strive to find creative ways to be a good steward of the firm's financial resources
  • Establish and maintain appropriate vendor relationships while maintaining a general working knowledge of local venues and vendors
  • Work as an effective collaborator and team member with: marketing and administrative teams; groups and industry teams; and outside service providers

Candidate Requirements:
  • Bachelor's degree preferred, preferably in marketing, communications or event management
  • 2-3 years of event management and sponsorship program experience; preference given to candidates with 5-7 years
  • Experience as a third party or corporate meeting planner
  • Experience working in a law firm or professional services environment preferred
  • Experience with project management, budget development and negotiation
