Receptionist Summary:

Doherty Top Talent is seeking a Receptionist to start immediately with an agricultural processing company in New Hope, MN. The Receptionist will be the face of our client's organization for employees and visitors. This role will also be supporting data entry efforts for Operations, creating and entering requisitions for office supplies and maintenance work orders, managing the front end vacation tracking process, greeting visitors and redirecting phone calls to the appropriate company personnel, and maintaining and storing relevant paper and electronic filing.

Receptionist Responsibilities:
  • Support Operations production tracking by compiling daily production and manufacturing logs (reject logs and regrind sheets), validating data, and entering information into tracking spreadsheets on a daily basis
  • Receive, organize, and scan all press and packaging department paperwork on a daily basis; scan documents into appropriate electronic locations per standard operating procedures
  • Maintain office supply inventory and place requisition orders for office supplies in the MP2 system
  • Manage front end vacation tracking process for facility; collect and time stamp vacation requests on a daily basis and provide documentation to HR coordinator and operations teams
  • Answer multi-line phone system and direct callers to appropriate destination. Provide information to caller, as needed. Greet all callers and guests in a friendly and professional manner. Distribute messages via voice mail, paging and e-mail communication systems, as needed
  • Receive and sign for deliveries, and open and distribute mail on a daily basis
  • Support Operations, HR Coordinator, and Quality Assurance function in processing documentation, filing and record keeping
  • Prepare for meetings and events as needed. (Physical room, breakfast, lunch arrangements, etc.)
  • Compile paychecks for distribution and update paycheck distribution form
  • Assist employees and job applicants on the computer and/or direct them to Post or HR Coordinator
  • Coordinate employee events and meetings with direction from HR Coordinator
  • Maintain and reconcile petty cash fund at the front desk
  • Other duties, as assigned
Receptionist Qualifications:
  • High school diploma or GED equivalent from an accredited institution
  • Must have experience with Microsoft Office (Outlook, Excel, PowerPoint)
  • Previous experience in customer service or receptionist role
  • Previous data entry experience
  • Excellent verbal, written and inter-personal skills
  • Previous experience handling confidential information
