Financial Aid Counselor
The University of St. Thomas invites qualified candidates to apply for a Financial Aid Counselor position within the Financial Aid Department.
Financial Aid Counselor: Build and maintain relationships with prospective students (and parents), continuing students, internal and external constituents (scholarship agencies, high schools, MN Office of Higher Education, lenders, third party vendors, etc.) Represent the university and articulate its financial aid programs (federal, state and institutional) to educate and persuade as appropriate. Implement proactive communication strategies regarding financial aid that support the successful recruitment, matriculation, persistence, retention and graduation of students. Share in the responsibility of delivering more than $200,000,000 in funds (all sources) and in generating in excess of $40,000,000 in new revenues each year for first-year domestic students. Master the university’s enterprise system (Banner) and use data to manage a large caseload of students; learn the university’s customer relationship management tool (CRM – Salesforce). Learn admission basics and collaborate with admission colleagues on territory management; effectively track and disseminate information and financial aid awards to 1000 – 2000 admitted students and 1000 -1500 continuing students; 2000-3500 total caseload. Collect and analyze data pertinent to case load and territory management; operationalize data to improve yield and to manage aid funds in an effective, accurate and compliant manner. Help students and parents assess their financing options and determine affordability; articulate debt management strategies and share financial literacy information and tools. Participate in community outreach activities. Manage assigned project(s) and/or program(s) to support the overall operation of the Financial Aid Office.
Student Recruitment/ Retention
Build and maintain relationships with prospective and continuing students (and parents); counsel regarding financial aid, financing options, funding alternatives, and general affordability through personal appointments, phone/email, on and off-campus events and presentations. Represent the university and articulate its financial aid programs (federal, state and institutional) to educate and persuade as appropriate, to meet recruitment and class goals and institutional retention efforts for continuing student populations. Proactively manage a large caseload/ 2000-3500 students, with a high degree of personalization and excellent customer service.
Analyze financial aid data (FAFSA results) and use information to assist students and parents with application completion and provide support for financial aid awarding processes to ensure timely and accurate delivery of aid (federal, state and institutional) to students (prospective and continuing); utilize federal tax income information, individual investment values, and household data to complete required federal verification processes and confirm overall accuracy of student and parent data. Use professional judgment in conjunction with institutional awarding strategies, policies and procedures to deliver accurate, compliant and (when possible) competitive financial aid awards. Provide support on annual processing and systems teams to reimagine existing systems based on annual federal and state aid program processing requirement updates.
Monitor, maintain and insure compliance with federal, state and institutional policies by reviewing and proactively responding to a wide variety of weekly reports and financial aid spreadsheets across caseload; reconcile student errors on application documents to make certain information contained in the student’s record is accurate, and in compliance with regulatory standards. Prepare and submit official changes to the US Department of Education (ED), the Office of Higher Education (OHE)/state of Minnesota, and all other impacted agencies providing funding. Adjust cost of attendance budgets as needed, recalculate eligibility for funding based on special circumstance data, review appeals and adjust financial aid yields per program, accordingly. Assist AD’s in the fund management data export reporting for year- end reconciliation as needed. Contribute to the annual re-write/update of the Financial Aid Policies and Procedure Manual.
Campus and External Collaboration
Actively serve on project and process teams throughout the enrollment division; student of color recruitment, event planning, competitive scholarship program management, financial aid communication, financial literacy, Banner decisions, etc. Serve on cross functional teams throughout the university that impact student recruitment, retention, compliance, diversity, and areas in which knowledge of financial aid, financing, recruitment, and retention initiatives is needed to support campus constituents. Participate in on campus recruitment events as needed. Create/update FA presentations and provide FA presentations for recruitment events and externally at High School recruitment events. Provide Financial aid presentations for on-going retention initiatives regarding debt management, etc., for continuing students. Other duties as assigned.

Minimum qualifications: Equivalent to a Bachelor's degree and one year of professional Financial Aid Administration experience or a combination of education (post-high school) and relevant work experience.
Preferred qualifications: Professional experience or experience as a financial aid student employee or related higher education experience including: territory management, sales, financing, relationship building, customer service.
Night and weekend work required.
Knowledge of: Computer applications related to the work; business arithmetic; university academic units and programs, financial aid policies, procedures and eligibility requirements; student recruitment and retention issues, university admission policies; standard office practices and procedures and operation of standard office equipment; correct business English including spelling, grammar and punctuation; administrative principles and practices; budget development and administration; applicable laws, codes and regulations.
Skills in: Interpreting, applying and explaining applicable laws, codes and regulations; contributing effectively to the accomplishment of the team or work unit goals, objectives and activities; ability to build relationships with a variety of constituencies; Planning, organizing and administering specific financial aid programs; providing customer service in the most cost effective and efficient manner possible; presenting to large or small groups; ability to work independently and interdependently; ability to be self-motivated; ability to work in a fast-paced, pressure-packed, dynamic environment; techniques for dealing with a variety of individuals from various socioeconomic, ethnic and cultural backgrounds; ability to use tact, discretion and prudence in dealing with those contacted in the course of the work; ability to build personal relationships; ability to navigate stressful and highly personal financial situations.
