Position Summary
Under general supervision, this role will provide innovation and change management as it relates to project management coordination and sample management coordination.  This position requires significant experience with Microsoft Office products and electronic sample management systems.  This position communicates with management to ensure overall operation status which requires high attention to detail and ability to meet multiple deadlines.  Additionally, this position will manage the activities of samples within electronic sample management systems, to include training, day-to-day guidance to end users, as well as Sample Entry and Sample Distribution.  

Common Essentials/Duties and Responsibilities
As a Program Coordinator you will help with reporting and project responsibilities as well as maintain administrative tasks through email, telephone, technology, and some face-to-face. Coordinate work flow and efficiencies through webinars, conference calls, and one-on-one meetings.  Share improvements and experiences in operations, troubleshooting, and diagnostics. Assigns, schedules, trains, reviews, and monitors project work to ensure that progress is within expected guidelines and is completed on time. Mentors and provides expertise to other project team members. Provide clear and consistent instructions to team members. Identifies, tracks, monitors and communicates project-related issues, scope changes, variances and contingencies that may arise during the implementation of projects. Facilitate amicable solutions between stakeholders and project teams. Maintain effective communication and working relationships with project team members. Participates in change management and provides input to Requests for Proposals (RFP). Identifies and documents opportunities to integrate systems and resources to fulfill project requirements. 

As a Program Coordinator you will perform any combination of sample acceptance tasks, including opening, entering, tracking, labeling, shipping and disposition of samples. Perform data entry for sample receipt area.  Review sample delivery list in electronic sample management systems against physical samples to ensure accuracy. Communicate discrepancies to appropriate personnel. Communicate confirmation of sample receipt to end users, if appropriate. Introduce and help develop improvement ideas for the group, with senior personnel or Management. Communicate with end users as required for sample coordination. Work with end users to identify and coordinate electronic sample management system developments and/or enhancements. Help create/update training materials.  Train new end users, working with and directing less experienced staff, and prioritizing workloads and/or special projects on a daily basis. Oversees and reviews work of peers as appropriate. Manually enter of sample data, as required. Ability to catalog, store, and ship samples for recycling or scrapping. Return samples to HQ or other specified party. Maintain documentation for storage and scraps.

Necessary Skills and Attributes
The ability to development and maintain excellent working relationships with multiples levels within the company and with external contacts including vendors and contractors.  Must be able to influence others in acceptance, approval, and provide technical clarification as well as ability to establish and maintain effective working relationships. Ability to gather and analyze data from multiple sources, prepare spreadsheets, charts, graphs and tables of information and to plan and prioritize multiple work assignments. Demonstrated English language competency in both oral and written communication modes for both internal and external communications. Work under very little supervision and guidance to identify and ensure achievement of production team goals and to complete individual work assignments within established time frames. The demonstrated ability to solve complex problems involving highly diverse conditions, requiring creativity to search for solutions among learned things.  Job duties require analysis and judgment of functional practices and daily experiences be used to determine appropriate courses of action. Has reasonable technical aptitude and possesses good computer skills. Demonstrate strong organizational and problem-solving skills.


Bachelor's Degree with 0-1 year of experience is required. Prior experience in project management and/or electronic sample tracking systems preferred.  Possess proficiency in MS Office products including Excel, Word and PowerPoint. Considerable knowledge and ability utilize current word processing, spreadsheet database, email, and internet software.

Physical/Mental Demands 

Work is generally performed in an office environment. Operate a computer keyboard and view a video display terminal between 50% - 95% of work time, including prolonged periods of time 
Requires considerable (90%+) work utilizing high visual acuity/detail, numeric/character  distinction, and moderate hand/finger dexterity. The movement and transportation of equipment, most of the time is under 25 pounds. Performs work under time schedules and stress which are normally periodic or cyclical, including time sensitive deadlines, intellectual challenge, some language barriers, and project management deadlines. Machines, tools, equipment, and work aids include PC’s, printers, copiers, faxes, and other equipment commonly associated with an office work area. May require working additional hours beyond normal schedule. Travel varies depending on position. May include a budgetary responsibility and expense authority. Consistently demonstrates a commitment to policies and procedures, including but not limited to, attendance, confidentiality, conflict of interest, and ethical responsibilities.
