Humera is seeking an Administrative Assistant III for our client located in Wayzata, MN.

Our client is a company that provides food, agriculture, risk management, financial and industrial products and services around the globe. The person in this position will be performing basic clerical duties to support the Finance Department,

The person in this role will provide executive level administrative support to the Corporate Controller and leadership team. This role is responsible for providing the appropriate first impression and representation of these leaders. Responsibilities of this role include handling confidential material, day-to-day workflow including email, calendaring, global meeting/travel arrangements and expense reports, etc. The person in this position must be highly organized, flexible, a self-starter with strong initiative, ability to be proactive, strong follow through skills, show interest and ability to improve processes and apply new technologies. This person will add value as a member of the team through strong administrative, organizational, technical and communication skills.

Principal Accountabilities

    60% - Administrative Support

  • Provide support for the Corporate Controller and leadership team, demonstrating a high degree of professionalism. Role has access to highly confidential information and manages inquiries and exercises discretion as required
  • Strong calendar management for the leaders who have a very active calendar and schedule
  • Providing the necessary support to manage requests, appointments, deliverables, etc. in person as well as virtually
  • Make travel arrangements, arrange for visas, document management and handle expense reports with insight on the cost of potential options
  • Event and meeting planning, and other miscellaneous administrative duties
  • Work collaboratively with other administrative assistants. May also provide back up support to other administrative roles in the office.
  • Development of PowerPoint presentations and spreadsheets using Excel. Coordinate webinars
  • Skype for Business meetings and possess the technical knowledge to troubleshoot issues
  • Keep current on technologies and be proactive to introduce new tools. Stay on top of best practices

    30% - Issue Finance CoE Reports

  • Point person for coordinating the distribution of various monthly/quarterly finance related reports via email, SharePoint or websites
  • Work collaboratively with Finance CoEs to coordinate production and distribution of the reports in an accurate and timely manner.
  • Strong Excel, PowerPoint and SharePoint knowledge to support these processes
10% - Other duties as assigned.
Required Qualifications

  • High school diploma or higher
  • 5+ years senior level administrative experience, supporting senior leadership. Corporate or business leadership preferred.
  • Excellent verbal and written communication skills that demonstrates a high level of professionalism.
  • Strong organization skills and the ability to manage multiple priorities and deadlines.
  • Ability to manage frequent calendar, schedule, and travel changes with a high degree of efficiency and professionalism.
  • Ability to remain calm during times of stress.
  • Strong sense of urgency.
  • Desire for continuous process improvement.
  • Ability to work independently but also a strong team player, willing to help out when and where needed.
  • Strong MS Office experience - specifically strong in Outlook, Word, Excel and PowerPoint.
  • Strong knowledge and effective use of web based tools - Skype, SharePoint, Webex, etc.
  • Demonstrated track record of providing pro-active solutions.

Preferred Qualifications
  • Bachelor's degree or higher
  • Previous experience with international travel requirements and arrangements.
  • Previous experience providing administrative support to international managers or leaders.
  • Previous experience in a global business
