Humera is looking for an Administrative Assistant for our client in Minneapolis, an independent, nonprofit,large healthcare company providing health coverage and services that serves individuals, families, and adults with disabilities. The candidate in this position will be responsible for providing general administrative support to the Facility Management department. This may include maintaining the onboarding/termination process for employees and contingent staff, FM: Interact (facility database), C*CURE building access software, parking administration and other facility records. This individual will also respond to various facility related activities including facility requests, day-to-day building operations, and security systems. They will also coordinate and recruit safety team members and schedule team meetings, trainings, and drills. This is a long term contract position.


Duties:
  • Maintain FM related onboarding/termination process for employees and contingent staff issuing building access fob, seating and parking assignment, and nameplate (employee only) and updating related databases as necessary
  • Recruit safety team (Evacuation and Early responder) members
  • Coordinate safety team meetings, trainings, and drills
  • Ensure safety equipment is in good working order and that inspection schedule is followed
  • Ensure related records (team member spreadsheet, evacuation plans, etc.) remain current
  • Maintain FM: Interact system and provide reports as necessary. Ensure accurate and timely entry of information
  • Serve as a primary point of contact for various building and facility related requests. Monitor and respond to Facility Management email requests
  • Ensure the building access system is in good working order. Ensure accurate and timely entry of information. Replace lost/broken building fobs, run semiannual security audit, run ad hoc reports as needed
  • Serve as first point of contact for parking administration
  • Ensure accurate and timely entry of information. Reassign parking as needed
  • Conduct periodic parking lottery to re-balance overall parking assignments
  • Ensure security camera system is in good working order. Run ad hoc reports as needed
  • Assist in assuring the facility continues to be well maintained and attractive
  • Collaborate with Facility Operations Manager in the coordination of internal employee moves and shuffles
  • Assist Facility team as necessary
  • Other projects and duties as assigned

Education
  • AA degree in Business Administration or Office Management
  • Demonstrated experience may be considered in lieu of degree
Required Experience
  • Two years office based facilities and administrative experience combined with an enthusiastic, flexible approach
  • Excellent PC skills including Microsoft Word, Excel, Outlook and Visio
Preferred Experience
  • Experience in a customer service and/or administrative role
