Job Description:

Job Summary:

Provides assistance and support to Conservator to assist conservatorees with personal services while maintaining strict confidentiality.

Job Duties:

  1. Serve as point of contact for Conservatees (Community Members, all SMSC departments, outside vendors, Tribal Court, and attorneys).
  2. Deal with all queries via phone, email, and general correspondence.
  3. Manage and review Conservators Tribal Court calendar by means of Court Notices, Court Orders, Clerk of Court and attorneys.
  4. Sort, file and distribute daily mail.
  5. Coordinates and maintains daily and monthly schedules including Court schedule for all Conservators.
  6. Manages and maintains multiple client information data bases.
  7. Updates and runs current Quicken reports on Conservatee accounts. Obtains SMSC loan balances and prepares rough draft of Tribal Court Financial Summaries.
  8. Accurately enter and categorize expenses/investments/income transactions into Conservatees individual Quicken accounts.
  9. Reconcile individual Conservatees bank accounts, identify & resolve any discrepancies.
  10. Coordinate work, dates, times and payments with contractors for repair issues at Conservatees properties, both on and off the reservation.
  11. Collect bids and make arrangements for lawn maintenance and snow plowing services at Conservatees properties; establish payment arrangements for these services.
  12. Identifies any discrepancies between Conservatee financial accounts and actual payables by Conservatee.
  13. Provide historical reference by defining procedures for retention, protection, retrieval, transfer and disposal of records. Archive documents for retention.
  14. Manage procurement of all office supplies of stationery, supplies, equipment and furniture for SMSC Finance.
  15. Arrange/negotiate insurance coverage and premium payment schedules for Conservatees new and existing homes, automobiles and recreational vehicles; notify agencies of any additions or modifications of coverage on vehicles and properties on a continuous basis.
  16. Coordinates Conservatee tax documents and complete tax organizers for each Conservatee. Forward information to CPA and assist with any additional inquiries. Liaison between CPA and Conservators.
  17. Assist Conservatees with making appointments with other SMSC departments regarding home building, home remodeling, health issues, benefit questions, etc.
  18. Prepare bi-monthly per capita report.
  19. Established and maintain filing system for individual Conservatees.
  20. Coordinate interdepartmental meetings.
  21. Organize and develop binder with financial information, insurance policies and account information for Conservatees transitioning out of our program.
  22. Initiate contact with MN Department of Corrections to coordinate mailing of funds to Conservatees and to obtain monthly reports of Trust Account disbursements.
  23. Communicate with the Department of Corrections case workers to file appropriate paperwork for visits with Conservatees.
  24. Set-up and manage individual email accounts for each Conservatee for utilization by the Conservators Office to receive investment reports and billing statements for the Conservatee.
  25. Manage the deposit and withdrawal of Conservatees checks at the appropriate financial institution.
  26. Arrange transportation for Conservatees as needed.


Requirements:
  1. High School graduate or GED.
  2. Two or more years of secretarial/office work experience in highly confidential environment.
  3. Ability to type 40 words per minute.
  4. Proficiency (ability to create non-routine files or reports) in word-processing, spreadsheets, presentation, database, electronic mail software.
  5. Must be bonded or be able to get bonded in accordance with applicable law
