The Division Administrative Coordinator – Ops lays an important role in supporting Praestan Health’s Operations team. This individual will be primarily responsible for providing administrative support to the Chief Operating Officer and will also support Operations management as it relates to Praestan’s COO.  Duties may be clerical, administrative and project-based.

As the Division Administrative Coordinator - Operations, you will:
• Manage and maintain executive schedules including travel, conferences and appointments
• Prepare reports, collect and analyze information and prepare presentations
• Create, edit and manage correspondence
• Format, proofread and draft Standard Operating Procedures
• Track Standard Operating Procedures
• Perform basic project management duties
• Take/transcribe meeting notes and ensure follow-up on all deliverables
• Track clinician requirements in central spreadsheet such as annual trainings, CMEs/CEUs and license renewals
• Assist with onboarding procedures
• Coordinate with Human Resources to schedule interviews
• Assist with staff scheduling, tracking PTO and reviewing timesheets
• Assist with IT and AV troubleshooting as needed
• Collaborate with administrative support team to ensure coverage of front desk

Hours for this position will be Monday – Friday 8:00 – 5:00pm.

• Post-secondary education preferred or applicable experience with ability to manage job requirements
• At least 5 years of administrative support experience at Director level or above
• Office organization experience required
• Healthcare background required; behavioral health preferred
• Proficient with Microsoft Office products including Word, Excel, Outlook and PowerPoint; Visio experience preferred
• Strong understanding of HIPAA with the ability to manage confidential information
• Clerical strength to proof and edit document
• Strong verbal and nonverbal communication skills
• Demonstrated ability to draft diagrams, letters, visual aid graphics and flow charts
• Ability to manage multiple projects and receive/manage communication from various sources
• Familiarity with A/V systems and ability to test and ensure system functioning
• Ability to seek clarification if prioritization is needed
• Self-directed, detail-oriented and deadline-driven
