Humera has an opening for an Administrative Assistant for our client in Inver Grove Heights, MN. This is a short term opportunity.
The essential functions include, but are not limited to, the following fundamental duties:
  • Answers main school phone, transfers calls, responds to inquires and/or takes messages.
  • Manage student attendance system including receiving student absence information through phone calls or email, marking attendance in the attendance system, running daily absence and tardy reports, generating attendance letters to parents and initiating attendance system phone calls to parents regarding absences.
  • File necessary truancy reports with assistance from Assistant Principal
  • Assemble Attendance Appeal forms and follow up with necessary paperwork and filing after appeal meeting
  • Assist the Assistant Principal in managing discipline including providing passes for students, mailing discipline reports to parents.
  • Greets individuals entering the building (e.g. visitors, parents, students, vendors, etc.), responds to inquiries and directs individuals to appropriate location in accordance with established building security procedures.
  • Receives a variety of items (e.g. mail, special deliveries, packages, supplies, etc.) and distributes materials to appropriate parties.
  • Sign students in and out of the building, prepare admit slips.
  • Assist Assistant Principal with tutoring (printing missing work, etc.)
  • Collect homework as requested by students/parents for absent and homebound students
  • Assist other administrators and administrative assistants as needed
  • Perform other related duties as assigned.
Knowledge, Skills and Abilities
  • Considerable knowledge of word processing, database and spreadsheet officesoftware applications (Microsoft Office preferred).
  • Considerable ability to organize and maintain computerized and/or manual records and files.
  • Considerable ability to work with detailed information accurately.
  • Considerable ability to follow complex oral and written instructions.
  • Considerable ability to communicate effectively both orally and in writing.
  • Considerable ability to interact effectively with students, parents, staff, outside agencies and the general public.
  • Working knowledge of grammar, spelling and punctuation.
  • Considerable ability to accurately, confidentially and securely maintain and/or store records, documents, files and other information.
  • Ability to work in a fast paced environment.
Working Conditions
  • The majority of the functions of this position take place under normal office conditions where there are minimal negative environmental factors; however, the position does require travel, outdoor experiences, construction follow-up and other events out of the school environment.
  • The functions occur in an environment with moderate noise exposure and frequent interruption.
  • The functions require a moderate to high pace of work activity for extended periods of time.
  • Some early morning, evening and weekend work is required. The work schedule for this position will be determined by the superintendent of schools.

Minimum Qualifications
  • High school diploma or equivalent and three years of clerical experience

Monday - Friday from 7:30 a.m. - 4:00 p.m.
