Humera is looking for a Executive Assistant for our client in Bloomington, MN. The Executive Assistant provides comprehensive administrative support to the President and additional support for others as designated. Key activities will include providing day-to-day support on administrative duties, interacting with a high level of professionalism among internal and external personnel, and managing correspondence and communication on behalf of the President. This is a Direct Hire position!
Duties

  • Provides administrative support including:
    • Travel coordination
    • Calendar and scheduling
    • Processing invoices, expenses, and executing purchase orders
    • Answering phones
    • Managing communications coverage
  • Greets employees, customers, or vendors coming in for meetings
  • Facilitates room preparation, notes, presentation materials, lunch, or any other logistics required for meetings
  • Independently creates, edits, or prepares presentation materials
  • Prepares and reviews correspondence, notices, memos, reports, and other communications
  • Serves as a confidential assistant, preserving confidential information related to sensitive business matters
  • Interface with all levels of employees
  • Responds with utmost professionalism on behalf of the President on certain matters
  • Prepares briefings or other information to best prepare President in front of meetings, presentations or other important matters
  • May perform event planning for meetings or presentations
  • Maintains and preserves the time of the President, both on calendar and in-person

Requirements

  • High school diploma: further education or training related to business is preferred
  • 5+ years experience providing executive support to a senior leader
  • Software skills: Microsoft Office, Outlook, Excel, Powerpoint
  • Experience drafting professional communications, interacting with business partners from legal counsel to customers to charity partners
  • Personal characteristics: detail-oriented, customer service orientation, diligent, professional demeanor, acts with integrity, committed with consistent follow through
  • Strong business acumen
  • Superior verbal and written communication skills
  • Experience handling confidential and sensitive material
  • Able to meet deadlines, anticipate needs, demonstrate initiative, and independently complete tasks
  • Strong customer service orientation
  • Works well independently and is resourceful
