Job Description:

Job Summary:

Collect and prepare information for the submission of grants and contract proposals and consideration of charitable giving requests. Responsible for coordinating and facilitating internal auditing, reporting, planning and implementation of grant and contract proposals and charitable giving requests and ability to development internal controls, policies and procedures for successful office operations. Work with charitable giving workgroup to define and clarify procedures and requirements and to promote positive working relationships. Manage grant, contract and charitable giving expenses to assist in formulating office budget requirements and processes. Coordinate with other tribal entities that have direct contact/business with SMSC to assure their contract, grant, and charitable giving requirements are met.

Budget/Asset Responsibilities:

Assists in the development of the annual budget. Manage grant, contract and charitable giving expenses to assist in formulating office budget requirements and processes.

Job Duties:

Develop, manage, and implement grant management processes for SMSC and other tribal entities.

  1. For each grant, prioritize, plan, prepare, research, analyze, synthesize information pertaining to each grant and develop a proposal.
  2. In the grant development stage, ensure each proposed activity meets the eligibility criteria of the specific funding source and has appropriate approvals in advance. Adheres to grant approval process.
  3. Manage, execute, track and monitor grant expenditures.
  4. Prepare amendments to grant agreements to accomplish plans and associated contractual agreements.
  5. Conduct periodic internal audits of grant-funded projects to ensure organizational compliance with the documentation of grant requirements.
  6. Assures follow-up reports are accurate and submitted timely.
  7. Manage all grant-related electronic and hard copy files in accordance with requirements set forth by the respective grant and organizational protocols.
  8. Coordinate then financial reporting for SMSC grants. Prepare federal, state, SMSC reporting requirements as requested.
  9. Filing and maintaining accurate, complete and required records.

Serve as the primary administrative contact for the Sharing Resources Workgroup responsible for SMSC Charitable Giving.

  1. Prioritize, plan, prepare, research, analyze, and synthesize information pertaining to each charitable request.
  2. In the development stage, ensure each proposed activity meets the eligibility criteria of the specific funding source. Adheres to charitable giving approval process.
  3. Manage, execute, track and monitor expenditures. Assures follow-up reports are accurate and submitted timely
  4. Conduct periodic internal audits of funded projects to ensure organizational compliance with the documentation of Charitable Giving and Workgroup requirements.
  5. Coordinate financial reporting of all Charitable Giving for budget formulation and implementation.
  6. Filing and maintaining accurate, complete and required records.

Requirements:
  1. Bachelor's Degree from an accredited four-year college or university, Master's degree desirable (grant writing and management preferred).
  2. Minimum of 5 years successful grant, contract, and charitable giving research and writing experience.
  3. Advanced level computer skills in Microsoft Office and database management and reports, Excel spreadsheets, and PowerPoint.
  4. Understand SMSC department programs, budgets, processes and policies, and be able to effectively review federal grants for compliance with laws and regulations, as well as provide technical expertise to the office in the grant and contract procedure.
  5. Ability to research and interpret federal, state and tribal ordinances sufficient to apply them to business problems
  6. Knowledge of SMSC organizational structure, policies, and procedures sufficient to make recommendations to correct procedural and organizational complications.
  7. Knowledgeable of training and development concepts, approaches, and techniques, as well as adult learning theory sufficient to develop and implement training programs for a variety of clientele.
  8. Work well in a team environment both with peers, subordinates and outside individuals and entities.
  9. Ability to build consensus among multiple and conflicting interests and priorities sufficient to resolve problems between business clients, workgroup members, and government agencies.
  10. Must have the experience in managing multiple projects with minimal supervision.
  11. Ability to handle confidential financial records, grant materials, and SMSC information with great discretion.
