Job DescriptionHumera is seeking a skilled and professional Executive Assistant to work for our client located in Minnetonka! Out client is a major health care insurance provider in Minnesota. This is a Contract to Hire position.
The Executive Assistant has responsibility for providing primary or secondary support to the Chief Medical Officer, Vice President of Health Management, Department Directors and related staff as assigned. This person will provide both administrative as well as project coordination and management support. You will serve as a point of contact for the Health Management teams and across the company and organization including the executive team. The individual in this position must demonstrate outstanding accuracy, customer service, accountability, communications and organizational skills.

The individual who serves as the Executive Assistant will learn a great deal about our client. Based on that knowledge and the individual's specific skills, they could move into project roles, as well as other executive support positions within the company. Other opportunities could be made available depending on the specific skills the individual brings to and gains from the Executive Assistant position.

Responsibilities

KEY ACCOUNTABILITIES

Effective Calendar management - 65%
  • Proactively manages schedules, sets up meetings and provides phone support
  • Provides follow-up coordination to ensure all parties have needed information and are adequately prepared
  • Ensures the office operates effectively and efficiently and customers are provided with information and materials they need
Coordination of activities and data management - 15%

  • Actively communicates priorities, coordinates and assists as necessary to support the teams in Physician Services and Health Services.
  • Assists in project management activities, including research as needed
  • Prepares documents and presentations ? utilizing research and analytical skills
  • Prepares monthly dashboards and other performance reports
  • Maintains org charts
Clear communication - 10%
  • Participates actively and cooperatively in team of persons responsible for telephone coverage for the officers
  • Seeks clarity when unclear to confirm direction, timing, etc.
  • Participates in staff and departmental meetings assisting in the identification and resolution of problems
  • Establishes collaborative working relationships with all customers, internal and external, in a professional and courteous manner both in written and verbal communication
Proactive administrative support - 10%

  • Provides word processing when required
  • Prepares and follows-through on sign-off of expense reports
  • Performs copying and filing
  • Other duties as assigned

Essential Qualifications and Requirements

Minimum education level required
  • Associate's degree
Minimum years of experience in the field required
  • 6 years
Specific types of experience or skills required
  • 6 years of experience in executive assistance
  • Demonstrates a high level of MS Word, Excel, PowerPoint (IMPORTANT - high level of experience) and Visio proficiency
  • Advanced skills in Microsoft Office suite and Internet aptitude, spreadsheet, dictation experience
  • Sound writing skills: content development; grammar and spelling
  • Sound math skills and experience with Microsoft excel
  • Must be willing to work overtime to cover special projects or deliverables, on occasions
  • Outstanding communication, accuracy, customer service, accountability, communications and organizational skills
