We are excited to announce that we are looking for an Administrative Assistant to support our Real Estate team.

This person is responsible for providing general project and administrative support to the Executive Vice President of Real Estate, and the Acquisition & Development and Construction Management departments and some assistance to our team of Social Service Providers.

ESSENTIAL JOB FUNCTIONS AND ASSOCIATED TASKS

Provide organizational/administrative assistance
1. Collect, organize, and maintain Real Estate department policies and procedures files to ensure department is utilizing current forms and processes.
2. Implement and maintain paper and electronic filing systems
3. Maintain updated project and departmental status reports, and distribute as assigned.
4. Create vendor/consultant contact database; and process and reconcile vendor payment requests.
5. Maintain and coordinate staff calendars, schedule and coordinate meetings, and assist with travel arrangements and expense reports.
6. Perform data entry duties, and run related reports as assigned.
7. Coordinate department and team meetings.
8. Coordinate reporting and budget requests.
9. Coordinate vendor accounts
10. Provide daily administrative support for the Executive Vice President of Real Estate.

Assist with development projects (funding applications, closings, due diligence, etc.)
1. Assist with gathering pre-development data, conducting market research, preparing property profiles, and other due diligence as assigned.
2. Assist with arranging/staffing open houses/grand openings for new projects, as assigned.
3. Assist in preparation and submittal of applications for federal, state and local funding; and submit follow-up requests, and required reports to same as assigned.
4. Assist with obtaining required closing documentation, as requested (e.g., zoning letters, utility letters, SHPO letters, tax statements).
5. Assist with construction draws, as requested.
6. Update AS project application templates for new development proposals.
7. Track project application deadlines.



MINIMUM REQUIREMENTS
• Minimum three to four years progressive administrative experience in fast-paced office.
• Computer proficiency to utilize numerous software packages to design presentations and generate various statistical displays and graphics (i.e. MS Word, Excel, Microsoft Project, PowerPoint, etc.).
• Quick study of other software.
• Demonstrated ability to set work priorities, work independently, take initiative, and problem solve with minimal supervision.
• Strong organizational skills, and demonstrated ability to manage multiple tasks and details simultaneously.
• Demonstrated oral and written communication skills are required to conduct research, design presentations/graphics materials, generate reports, compose correspondence, and respond to information requests from a wide range of internal and external contacts.
• Professional attitude and work habits.
• Ability to identify, and use discretion with, confidential information.
• Must have access to reliable transportation.
• Flexibility to work occasional early mornings or evenings.
• Excellent customer service skills to respond to inquiries from a variety of internal and external stakeholders.
• Ability to work in a team environment.
• Background in real estate development and/or financing preferred.
