Individuals and businesses that partner with our client organization are diverse and often have complex needs. As a Receptionist/Administrative Support, you will play an integral role with the entire organization, particularly with the Management Team. You will work under the direction of the Director of Human Resources and you must be very dependable and flexible in this position.
You need to be proactive, able to multi-task in a fast-paced environment, and Client Service focused to help maintain good Client relationships both externally and internally.
Receptionist/Administrative Assistant Duties:
Greet and direct visitors to appropriate staff (after calling to advise of, and identify visitor)
Answer incoming calls
Take and promptly deliver clear, concise messages when required
Page when necessary & Greet Clients, Vendors, etc.
Enter Client, Vendor and Carrier Business Cards in Microsoft Outlook
Send for Messenger Services, sign for delivery of packages
Update directories: Telephone listing, Team Divisions, Anniversaries, Birthdays
Sort and distribute all incoming mail
Update and assemble New Hire Packet for Human Resources
Organize and Maintain Mail Boxes
Order Supplies as directed by Human Resources
Set up conference room for meetings as directed by Human Resources or Managers
Book conference rooms through Outlook Calendar
Other clerical duties or projects as required by Team Leaders, i.e., assist with certificate mailings (stuffing envelopes) and laminate sales and some new hire materials
Track gift card awards through Excel spreadsheet
Refill coffee machine bins daily and clean inside coffee machine each week
Track coffee and supplies for individual kitchens
Clean two Refrigerators once a month
Support COO & Director of Human Recourses on a daily basis; producing information by procuring, transcribing, formatting, inputting, editing, copying, scanning, and transmitting information of all types
Enhancing Colleagues' Clients' and Business Partners' confidence
Welcoming guests and customers by greeting them, in person or on the telephone, answering or directing inquiries
Education: College Degree preferred or equivalent work experience.
Experience: 2 years’ administrative support in business environment or other related services industries required.
