FACILITY COORDINATOR

Position Description

This position is responsible to respond to daily building operations and facility services requests including HVAC, security, janitorial, floor cleaning, sound masking, vending and work space.  Interface with property managers regarding routine building and grounds issues.  Facilitate onboarding/termination processes and ensure FM databases remain current.  Coordinate routine shuffles, furniture moves, reconfigurations, and repair.  Conduct ergonomic assessments. Provide periodic after hours on-call support and response to emergency building issues.  Provide backup support to Accounts Payable including functions to produce weekly payments to vendors and maintaining effective and timely communication with vendors, and internal customers.

·Respond to daily building operations requests, troubleshoot issues and assure facilities continue to be well maintained and attractive.  Interface with property managers and building maintenance staff on reporting and resolution of routine building operations and grounds issues.

·Facilitate the on-boarding and termination process and ensure FM databases remain current. Prepare new employee packets and nameplates. Ensure work stations are move in ready.

·Monitor building security (surveillance camera and building access) systems and run reports as needed. Order building fobs and ramp access cards as needed.

·Respond and resolve daily facility service requests to ensure internal and external customer satisfaction.  Schedule and track external vendors to ensure timely completion of facility work orders.

·Schedule routine furniture repair and reconfiguration projects and provide direction and oversight to installation staff.  Assist in the planning, coordination, execution of larger scale office move and reconfiguration projects.

·Provide general oversite for Day Matron as needed.

·Ensure basement storage areas are organized, that furniture component inventory is current and that record coordinators maintain their assigned shelving areas in an organized and efficient manner.

·Maintain high quality of service to internal and external customers.

·Conduct ergonomic assessments.

·Cross train in Accounts Payable process for back-up support.

·Other projects and tasks as assigned.

Education

Two year degree; demonstrated experience may be considered in lieu of degree.

Required Experience

Two years office based facilities and administrative experience.  One year general maintenance experience. Experience with facility work order or maintenance management software.  Excellent PC skills including Microsoft Word, Excel, Outlook, and Visio.

Preferred Experience

Experience in healthcare and databases.  Oracle Financials experience.
