JOB SUMMARY

This position will work with the other two administrative assistants in the Dean's office to provide support for all aspects of the Dean's Office functions. This position among other duties to be determined, will provide lead support to interdisciplinary programs in the College of Arts & Sciences and support activities connected to the SOLV Initiatives and other College-wide events. This position reports to an associate dean and assists in the regular administration of the budget and enrollments, monitoring and providing projections. This position serves as first point of contact for the interdisciplinary program directors, interpreting and solving problems as they arise and communicating effectively with students, faculty, parents, and other visitors. This person coordinates a variety of speaker, hiring and evaluation activities, exercising discretion and maintaining confidentiality. This person has strong technical knowledge needed to manage program and institutional information on web/media platforms.

ESSENTIAL FUNCTIONS

  • Curriculum support (30%): Comprehensive oversight and management (at the direction of the dean/associate dean) of all scheduling functions, registration functions, preparation of adjunct contracts, and recording of department business (minutes at meetings, posting of new/modified department policies), monitoring of textbook orders. Develop and use expertise with university computing systems (e.g., Banner, IDEA) to facilitate department budget, enrollment, and other inquiries, planning and management.Budget support (20%): Budget management for programs and SOLV: responsible for day to day administration of budget, providing reports and budget projections, tracking and monitoring budget details, managing supplies and equipment and anticipating needs in this area.
  • Website and communication support (10%): Maintain program and SOLV websites: updating the website as needed, anticipating necessary modifications, managing alumni information and using the website to communicate with alumni (e.g., newsletter) and prospective students, independently solving problems and gathering feedback to improve the website. Oversee the maintenance of all brochures and publications.
  • Project support (10%): work with project leaders to track activities, schedule meetings, oversee budgets and timecards for students, order supplies, materials, or equipment, arrange for payments
  • Client support (10%): fields and routes phone calls, emails, mail, and general correspondence to members of the department. Supports adjuncts. Serves as an initial student contact for issues such as advising, major/minor declarations, degree evaluations, and transfer credit evaluations. Supervise and maintain timesheets for student graders and student researchers.
  • Event support (20%): Coordinate SOLV and program events, including reservations and orders, communication and publicity, registration and budgeting, arrangements for speakers and honoraria.

QUALIFICATIONS

Minimum Qualifications

  • High School diploma or the equivalent
  • Three years of administrative support experience (office management, working with students)

Preferred Qualifications

  • Administrative experience working in higher education
