JOB SUMMARY

Manage a portfolio of non-degree executive education programs offered in either open-enrollment or custom formats, as assigned. Apply an understanding of the continuing education needs of a designated market segment, while maintaining a pulse on trends and competitors in the education and training services market. Emphasize principles of effective adult education in all decision regarding program content and delivery and when interacting with faculty resources (both within St. Thomas and adjuncts).

The program manager is responsible for meeting enrollment targets and maintaining quality standards. The role requires critical thinking, an ability to plan and execute program deliverables, and an ability to connect and build relationships with potential and existing program participants.

The program manager works as part of a team to achieve program revenue and contribution margin objectives by managing program costs and focusing efforts on participant enrollment, low attrition, and a superior experience that builds opportunity for repeat or referral business. The program manager works collaboratively with program directors, marketing staff, instructional design staff, other program managers, other University personnel, and external vendors, in order to understand and meet job requirements and achieve consistently high levels of customer satisfaction.

ESSENTIAL FUNCTIONS

The program manager is responsible for a portfolio of non-degree certificate programs and applies the following lenses to each program:

Program Coordination

  • Following department standards of excellence, the program manager completes or advises support staff on program coordination tasks, related to program scheduling, determining physical space and technology needs, setting and maintaining learning management system access, planning catering, compiling program instructional materials, and ensuring day-of event collateral is prepared and accurate.
  • Act as main point of contact for faculty related to program materials, schedule, contracting, and participant or department-related communication to ensure program deliverables are clear and quality standards of instruction are being maintained

Customer Service

  • Advise potential participants in program selection and use CRM system and customer contact plan guidelines to nurture leads
  • Act as point of contact for participants once they enroll (in conjunction with registrar for billing) with timely communication on program logistics and various touchpoints to minimize attrition and ensure participants are prepared for the program
  • Provide high-quality touch points throughout the program including delivering the program welcome, checking in throughout the program, and participating in the program wrap-up
  • Demonstrate engagement and commitment to customer service standards

Lead Nurturing Support

  • In partnership with the Open Enrollment director, conduct market research for new and existing programs, monitor industry trends related to assigned program load, and stay abreast of competition within the market for individual programs
  • Strive toward enrollment goals, both forecasted and stretch, for assigned program portfolio as the accountable individual for ensuring we reach goals, leverage past participants, and collaborate and communicate with team on strategies beyond standard marketing campaigns
  • Act as in-house content specialist for programs with special attention to finding, developing, and/or reviewing copy for marketing emails, microsites, flyers/collateral, social media sites, and blogs (with an ability to work with faculty to understand the marketplace and leverage their expertise as the content owner)
  • Participate in program open houses and information sessions and attend industry-relevant conferences or association meetings
  • Record and maintain notes on one-on-one participant interaction in CRM system (Salesforce) to increase value in inter-department staff interactions with cross-over participants as well as for the benefit of the college and university

Program Development Support

  • Create evaluations and manage feedback by providing input to program faculty and other department staff as relevant; Proactively follow up on feedback with participants to engage them in further conversation, focus groups, and/or program testimonials
  • Continually recommend and implement changes/improvements to program design in response to customer input and requests (in collaboration with Associate Director of Program Development and Innovation).
  • Coach faculty on adult learning principles and review faculty materials prior to distribution for grammatical edits, branding consistency, and follow-through on expectations related to adult learning (learning objectives, agenda, introductions, balance of lecture and discussion/activities).

Program P & L Management

  • Collaborate with department accountant to monitor revenue, expenses, contribution margin, and various financial reports related to programs
  • Actively manage all direct program costs for individual programs
  • Work collaboratively as part of a team to develop marketing and delivery financial plans for programs
  • Make decisions with Open Enrollment Director on scheduling frequency and portfolio fit based on financials and enrollment outcomes

Projects and Collaboration

  • Participate as member of operations team through active collaboration and group meetings
  • Use project management core skills to participate in or lead projects impacting department operations/processes, program execution, and team culture

QUALIFICATIONS

Minimum Qualifications

  • Bachelor's degree
  • Three years of experience in program administration, project management, training/learning environment, or event management

Preferred Qualifications

  • Preferred qualifications include two years of experience in a role directly interacting with customers or serving others

An equivalent combination of education and experience from which comparable knowledge and skills have been acquired may be substituted.
