JOB SUMMARY

This position provides administrative and clerical support to the programs of the Art History department, including all undergraduate and graduate programs, exhibitions, and the American Museum of Asmat Art at St. Thomas. The position will work with the admissions process and materials, scheduling and data entry in Banner (SIS, FRS, CAPP), student records, maintenance and update of web sites, social media, advertising, marketing, and event planning. This position will report to chair of the department but will work closely with the Director of Graduate Studies, coordinator of Museum Studies, curators, and the Program Manager to provide support.

This job is 20-25 hours/week and hours include evening hours on days of department events.

ESSENTIAL FUNCTIONS

  • Plan and coordinate the daily and ongoing activities of the Graduate Program in Art History in collaboration with the Director of Graduate Studies
    • Identify administrative needs of the program, decisions or initiatives and their effective implementation, and works independently to carry out all program activities and initiatives, exercising judgment on the translation of goals and policies into effective decisions.
    • Serve as primary contact for inquiries into the graduate program. Accurate information should be provided to all inquiries and applicants consistently in a friendly, helpful and professional manner. All questions and inquiries should be responded to within the next business day and all phone calls and email should be answered by a person (not voicemail or autoreply) during posted office hours
    • Input and maintain all graduate student records and registration in Banner, as well as all graduate course information. Maintain graduate student degree evaluations in CAPP.
    • Work with graduate assistants and monitor status of graduate assistant tasks and reports
    • Maintain and track all admissions materials and communication with applicants. Recommend and implement ideas to create a more welcoming environment for interested parties and potential applications, and proactively communicating with applicants regarding admission materials and resolving needs and problems in providing the required materials. Schedule admissions committee meetings, make materials available to members, and carry out admissions decisions.
    • Monitor process and documents for the qualifying process. Ensure deadlines have been met and report issues to DGS.
    • Plan and coordinate new graduate student orientation. Schedule all components and speakers at multiple session orientation.
    • Outreach and marketing of programs as needed.
  • Scheduling, event planning and coordination.
    • Oversee the course and faculty schedule process including scheduling courses according to identified needs and faculty preferences, reserving classrooms and entering all necessary data into Banner.
    • Public relations, reception, and scheduling of speaker series and the Graduate symposium.
  • Web site
    • Maintain the department's web site with constant attention to providing current information and updating with internships, conferences, and other professional opportunities. Ensure all information is up-to-date, accurate, and easily accessible for users.
    • Support the department and faculty in maintaining overall departmental website and individual programs. Works with staff and faculty to write copy, select images, and maintain the undergraduate and exhibitions web pages for University Collections/American Museum of Asmat art, ensuring the information is current.
  • Communications
    • Develop awareness of the graduate program and other department programs through social media.
    • Work on weekly graduate student memo and updates.
    • With program manager, Edit and produce Art History blog in partnership with the Program Manager
  • Marketing
    • Coordinate marketing strategies for the department – end of year report and all.
    • In partnership with the Program Manager, monitor responses to marketing efforts and suggests changes in copy, design, venue, etc. to spend marketing budget more effectively in communicating with potential applicants, or produces new types of marketing materials that enhance current marketing strategy.
  • Curatorial support
    • Production of labels, didactics, and information signage for exhibitions in University Collections/American Museum of Asmat Art

QUALIFICATIONS

Minimum Qualifications

  • High School diploma or the equivalent
  • Three years of administrative support experience

Preferred Qualifications

  • A BA degree in Art History or a related field
  • Administrative experience in higher education
  • Experience with web site maintenance, data entry and analysis
  • Experience with enterprise software as well as other software such as Microsoft Office, Photoshop, Layout, Canva, Saleforce, and Banner
