Administrative Assistant – Community Development Position Profile

Status:  Full-time regular position, non-exempt

Salary:  Starts at $25.74 - $29.69 per hour (Depending upon qualifications)

Benefits: Qualifies for full-time benefits date of hire

Location: City Center

Hours: Standard business hours (8am-4:30pm), may vary based on business needs; Flexibility to work before and after business hours and attend monthly meetings outside of business hours (early morning and/or evenings approximately two times a month)

Reporting Relationship: Reports to Community Development Director

Community Development Department

The Community Development Department is comprised of Planning, Assessing, Economic Development, and Housing and Community Services. This department supports the long-term vitality of the City through city-wide land use planning, development review activities, maintaining a positive environment for business, addressing housing and community service needs, and enhancing revenue generation through responsible property valuations.

Position Responsibilities

The Community Development Administrative Assistant provides administrative and clerical support to the Community Development Director, Economic Development Manager and Housing and Community Services Manager. Assists the Assessing and Planning Divisions as needed. The primary position responsibilities and areas of impact are:

  1. Provides customer service to external and internal customers by serving as the primary contact at the front desk for the Community Development Director and the Economic Development Manager; provides back-up support to other staff.
  2. Attends meetings, prepares, edits, and proofreads communications such as meeting notices, minutes, agendas, presentations and reports; conducts research and composes internal and external correspondence on behalf of the Community Development Director, Economic Development Manager and Housing & Community Services Manager .
  3. Maintains department calendars, schedules, and electronic communications.
  4. Coordinates outside meetings and events.
  5. Organizes and maintains department records; provides clerical support such as filing and data entry.
  6. Monitors division budgets by preparing purchase orders, coding invoices, and monitors expenses compared to established budget.
  7. Maintains and updates the department Website; prepares the department’s annual report.
  8. Assists with preparation and writing of contracts, agreements and grant applications.

Position Requirements

Education: High School diploma or equivalent (i.e. GED) required; Associates degree or two-year technical degree in a related field preferred.

Work Experience: Minimum of four years administrative experience with demonstrated customer service skills, including experience supporting a high level position required; minimum of two years’ related experience in Community Development or a municipality preferred.

Technical Skills: Proficiency in MS Office (Word, Excel, Outlook) required. Proficiency in Publisher preferred; Advanced skills in preparing PowerPoint presentations required; Excellent written and verbal communication skills required; Experience writing legal contracts and/or grant writing preferred.

Physical Effort: Physical effort is light for the majority of work with lifting or carrying limited to 25 pounds intermittently. Report preparation and writing at times requires extended use of a keyboard.

Working Conditions: Most work is performed in a normal office environment. Occasionally drives to pick up food or office supplies, or to attend off-site meetings.  Position may involve calming emotionally charged individuals.
