Compliance Specialist Responsibilities
Substantive duties include:
1. Compliance Training: The role supports the management and administration of Compliance training for all North America legal entities, including implementing the HQ-mandated training plan, receiving employee rosters for training from HR, coordinating with the training vendor, testing training courses, preparing reports for management and driving employees to complete compliance training.
2. Affiliate Compliance/Risk Reports: The role coordinates monthly compliance and risk reports from the NA affiliates.
3. Policies/Procedures: This role supports the drafting and maintenance of new policies and procedures throughout NA.
4. Compliance Risk Assessment/Audit: The role coordinates the HQ mandated Compliance Self-Audit on an annual basis.
5. Compliance Conference: The role coordinates a NA compliance conference.
6. Compliance Investigations: This role helps manage anonymous webline cases through the case management system. The role also manages the NA Compliance email box.
Other duties include:
• Provide Executive Administrative support to the VP/Chief Compliance Officer, NA, including:
o Preparing team weekly status reports
o Preparing agendas for Bi-weekly NA Compliance team meetings
o Scheduling leadership, department and other meetings, appointments and meeting locations
o Maintaining calendar and being able to identify and resolve conflicts quickly
o Coordinating domestic and international travel and accommodation arrangements
o Coordinating arrangements for on-site and off-site NA Compliance conference
o Preparing expense reports
o Coordinating MBO results and documents
• Provide administrative support to the entire NA Compliance team, including:
o Monitoring NA Compliance, NA Privacy and HQ’s Compliance Program Management System (CPMS) emails
o Creating and modifying Word, Powerpoint and Excel documents, presentations and spreadsheets, including correspondence, internal memos, reports, etc.
o Uploading compliance training results into CPMS system
o Supporting new vendor requests
o Preparing individual PUMIs and submitting invoices for payment.
o Handling correspondence and telephone inquiries
o Filing and maintaining department records, policies, forms, documents, research materials and files.
o Performing general office management duties including maintaining office supplies, mailings, copies, printing, etc.
o Performing ad-hoc projects
o Routinely handling multiple priorities, working with tight deadlines
o Supporting activities that require handling of confidential information
Desired/Necessary Skills:
o Bachelor’s Degree or Paralegal Degree
o 3-5 years of experience
o Proficient MS Office skills
o Experience within the legal field preferred
o Excellent written/verbal communication skills
o Must be a self-starter and willing to learn
o Be able to work well with others in a team
o Organizational skills
