Position Summary

The Advising, Nutrition, Exercise Sport Science, Interprofessional Education departments at St. Catherine University invites applications for a full time administrative assistant. The position supports three academic departments (Exercise and Sports Science at .3FTE, Interprofessional Education at .1 FTE , and Nutrition/Dietetics at .2 FTE ) as well the office of Academic Advising at .4FTE. This position performs a wide variety of administrative support services, all of which contribute to the efficient and professional operation of the University offices, with a focus on service. The incumbent is responsible for providing reception, information services, office and administrative assistance.

Responsibilities:

• Assist program directors, professors, instructors with personnel, course scheduling, enrollments, assessment.
• Assist with budget, tracking, maintenance, facilitating equipment purchase, and inventory, and reconcile department p cards.
• Support student inquiries to the dean and programs. Supervise student workers.
• Provide direct service to students. This can include answering questions, referring them appropriate people, scheduling appointments and writing correspondence. Often involves listening to students in a professional and sympathetic manner.
• Answer questions from and provide information for advisors, especially those in our Freshman Advising Program, and other faculty. Communicate and maintain ongoing positive working relationships with staff in collaborative offices.
• Creating and maintaining various Excel spreadsheets, and generate appropriate reports for the office.
• Providing requested information or individualized reports to advisors / other offices.
• Entering data into Admin.
• Provide administrative support for the three academic departments.

Required Qualifications

Qualifications:

• High school diploma or GED required.
• Strong organizational skills with attention to detail.
• Excellent communication and customer service skills.
• Proven problem solving skills.
• Self-motivated requiring little supervision.
• Proficiency in Microsoft Word, and Excel.
• Ability to collaborate and work well with faculty, staff and students.

• Higher Education Experience.
