Position Summary

St. Catherine University seeks a fulltime Payroll Specialist within the Business Office. This position serves an essential role by providing payroll payments and payroll information to employees, acting as the payroll system expert and liaison to IT for payroll matters. In addition, this position is responsible for maintaining records, paying University insurance plans, proper and timely payment of retirement contributions and other payroll liabilities. This position serves as the primary customer service contact for other departments for payroll and general inquiries on payroll matters.

Responsibilities:
• Enter, verify and maintain payroll deduction records.
• Review and verify job assignments before processing payroll to ensure accuracy.
• Upload web time sheets and process payroll weekly, verifying the accuracy of hours and wages paid.
• Calculate weekly payroll tax due.
• Perform payroll research, as needed.
• Assist Human Resources with questions and problem solving.
• Prepare audit work samples and spreadsheets, as needed.
• Pay 403(b) weekly.
• Prepare Journal Entries for liabilities
• Maintain and reconcile 403(b) records for annual audit
• Generate and pay monthly statement for self-billed Group Life and LTD insurance, and voluntary Life, ADD and STD insurance, and others.
• Answer employee questions; provide documentation or assistance to faculty, staff and students regarding payroll issues.
• Provide payroll data to auditors or staff members as needed.
• Create and maintain Excel Spreadsheets as required.
• Assist with Federal and State reporting, including multi-state withholding.
• Provide assistance with annual W-2 reconciliation and processing.

Required Qualifications

Required qualifications:
• Associate degree in accounting or business related degree.
• Must have 3-5 years of experience using automated payroll systems like Banner.
• Ability to learn new systems quickly.
• Excellent data processing skills are essential for this position, such as keyboarding skills (10 key by touch) and touch-typing.
• Ability to use Microsoft Excel is required.
• High aptitude for working with numbers to understand, calculate and reconcile large amounts of data is required.
• Must possess excellent communication skills to provide written or verbal explanations to vendor or customer queries, auditor questions or others.
• Comprehensive logical thinking is a must, as well as the ability to understand the big picture of the University and how the payroll function fits in.
• Must be able to understand Federal & State regulations.
• Ability to follow University mandated policies and procedures.
• The successful candidate must have the ability to respond respectfully and effectively to people of all cultures, in a manner that affirms the worth and preserves the dignity of individuals, families and communities.

Preferred Qualifications

Preferred qualifications:
• BS/BA in accounting or business related degree.
• Certified Payroll Professional ( CPP ).
• Banner experience.
