Position Description

This position is responsible to provide administrative and project support to the Chief Medical Officer, Medical Directors and the leaders reporting directly to the CMO. Provide administrative and project support to the Quality Management/Population Health and Pharmacy departments. Serve as a key liaison with the staff and external customers.

• Provide administrative and project support to the Chief Medical Officer, Medical Director, Vice President of Quality Management & Population Health and Associate Vice President of Pharmacy, and the leaders reporting directly to them. Ensure efficient operation of the CMO respective departments by developing, implementing, and maintaining the administrative functions of the department.

• Provide executive-level support for a range of local and national initiatives in which the CMO plays a lead role.

• Coordinate and manage calendars, meetings, travel arrangements and conference registration for the CMO department, providing detailed coordination based on knowledge of critical issues and key relationships.

• Provide administrative support to a variety of committees, workgroups and board related councils; coordinating schedules, creating and finalizing agendas, preparing meeting documents, creating and finalizing PowerPoint presentations, recording meeting discussions, and maintaining related filing and retrieval systems in SharePoint sites, shared electronic drives, and paper filing systems.

• Act as a resource to staff and assist in the resolution of administrative issues.

• Provide support and leadership for administrative assistants in departments lead by the CMO. Act as a mentor and provide training as needed.

• Provide support and back-up coverage to other executive assistants. Work in collaboration with other executive administrative staff to schedule meetings, complete projects, and develop protocols for UCare administrative procedures.

• Maintain a high level of confidentiality.

• Other projects and duties as assigned.


Two-year college or business school degree.

Required Experience

Three years executive, legal, or administrative secretary experience.
