Job Description Job Summary:

Coordinates office operations for the Organics Recycling Facility (ORF) Provides and coordinates support to Biomass Processing Manager, Assistant Biomass Processing Manager and the Environmental/Compliance Tech including; monitoring budget, revenue, expenses, invoicing, sales, inventory, providing customer assistance and answering incoming calls and customer inquiries. Provides monthly updates. Assists with required permit and monitoring documents. Works directly with contractors and vendors on sales and tipping.   Budget/Asset Responsibilities:

Assists Biomass Manager with tracking and preparation of the annual budget. Responsible for overseeing department purchasing and sales and preparation of invoices.   Job Duties:   Organics Composting Operations
  • Track input and output cost production for food/yard waste and finish product.
  • Inventory finish product
  • Coordinate product orders and schedule deliveries
  • Coordinate with Finance Department on revenue, expenses and customer invoicing.
  • Prepares/processes invoices and tracks monthly expenditures.
  • Assist with annual fiscal year budget planning
  • Collect and submit information required to create new customer and vendor accounts. Communicates with customers on accounts and invoicing issues.
  • Coordinates with other SMSC Departments on internal needs and requests.
  • Coordinates the annual free drop off programs.
  • Tracks and documents costs and production analysis for offsite grinding operations
  • Participates with SMSC internal committees for planning and decision-making purposes.
  • Assist Biomass Processing Manager with marketing of compost, compost blends, mulch, bagged products, sand and gravel and other markets.
  • Provide the Marketing Department with information for various ORF product advertisements and publications.
  • Prepare and make presentations and give tours for the ORF
  • Attend tradeshows representing the ORF
  • Coordinates ORF requests via Robohead
Performs and coordinates advanced, diversified and confidential support. Completes special projects including budgetary reviews, research, analysis of policies and procedures, documenting specific issues and providing recommendations.
Other duties as assigned such as:
  • Take incoming phone calls; answers customer inquiries; secures product orders and coordinates customer sales with staff.
  • Coordinates staff meetings/agendas/minutes
  • Manages ORF files and documents
Scale House Operations
  • Keep pricing and accounts up to date in WINVRS scale software and monthly finance spreadsheet.
  • Verify all daily transactions for accuracy-makes corrections as required.
Days Monday - Friday Hiring Rate or Hiring Range Salary Based on Qualifications Requirements Reflects MINIMUM EDUCATION, TRAINING, CERTIFICATION and EXPERIENCE required in order to meet the expectations of this job:
  • Any combination of post-secondary education and experience in Office Administration, Business, or related field to equal five years.
  • Ability to type 40 words per minute.
  • Working knowledge of basic accounting and bookkeeping practices.
  • Good computer skills to include MS Word, Excel, Outlook, and PowerPoint as well as other business related software as needed.
  • Excellent verbal and written communication skills.
  • Valid driver's license may be required with good driving record.
