Job Summary:
The Executive Assistant to the President provides executive level support and is responsible for a wide range of duties that advance the College’s reputation, mission and vision, and ensures the success of the President and Board of Regents by providing exceptional leadership and effective management in administration, project oversight, advancing strategic initiatives, communications, relationship-building, and decision-making.
Full Description:
- Develop, implement, and interpret policies and procedures
- Lead diverse, interdepartmental initiatives
- Manage and prioritize complex projects
- Forge partnerships, build relationships, and garner support from internal and external stakeholders
- Review the Luther College events calendar and publications regularly to ensure key events and campus issues are brought to the attention of the President
- Monitor the email accounts associated with the President’s Office; respond and forward concerns to the appropriate senior leadership team member or office
- Perform a wide range of administrative tasks
- Manage the department budget and payroll functions
- Represent the President in collaborative planning for special ceremonies and events including convocation, commencement, and homecoming
- Collaborate with the President and other college offices to manage travel, President’s Home upkeep, and events requiring the President’s presence
- Work with campus administrators to ensure coordination and support for strategic initiatives across campus
- Represent the President as required on ad hoc committees or at events
- Responsible for personal needs of the President as required to ensure business continuity of the College
- Work with Senior Leadership and the Board of Regents to plan the logistics and record keeping for all Board meetings
- Participate in and ensure record keeping for committee meetings, including Cabinet, College Resource Council and various Regents committees
- Other duties as assigned

- Ability to work collaboratively with a wide variety of stakeholders in a multi-constituency environment
- Ability to work extended and/or weekend hours to support the President as needed
- Ability to maintain utmost confidentiality
- Excellent organizational, conflict resolution, and problem-solving skills
Education and/or Experience:
REQUIRED EDUCATION, EXPERIENCE and SKILLS:
- Bachelor’s degree
- Demonstrated experience in maintaining confidential materials
- Experience providing administrative support
- Strong written and verbal communication skills, critical thinking skills, and interpersonal skills
- Ability to build and maintain relationships
- Proficient level knowledge of Microsoft Suite and Google tools
- Ability to work and thrive in an environment in which diversity, equity, and inclusion are embraced and fostered
PREFERRED:
- Experience in higher education, especially at a residential college or university
- Experience providing administrative support at the executive level
- Undergraduate or graduate degree in accounting, organizational management, business administration, or related field
PHYSICAL DEMANDS and WORK ENVIRONMENT:
- Position will require some evening and weekend work. Overnight travel may be required.
- Routine office work includes extensive computer use and telephone use
- Involves sitting most of the time, but may involve walking or standing for brief periods of time
- Includes exerting up to 10 pounds of force occasionally and/or the ability to lift, carry, push or pull, or otherwise move objects with a negligible amount of force
- Ability to clearly represent Luther’s mission and vision as a residential, Lutheran, liberal arts college
- Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff, alumni, parents, and friends of the college
- Ability to serve as an advocate for individuals of all ethnicities, genders, ages, and backgrounds
