The Asset Management Analyst is responsible for the operational management of hardware, software and service assets within the organization, to include planning, recording, auditing, and maintaining asset information.

They will mature, implement, and maintain processes and procedures to ensure relevant assets and their attributes are tracked throughout their lifecycle from acquisition to disposal. Working with global IS and business functions to ensure all Toro processes for asset acquisition, maintenance renewal and disposition are followed per local and corporate guidelines. Working closely with Legal, Risk and Compliance to ensure all proper compliance of software utilization.


  • Work to proactively monitor, mitigate and control inventory and compliance risks related to software and hardware assets

  • Perform software license validation against installed asset base, including true ups, renewals, & audits

  • Use Asset Management tools, processes and procedures to support license compliance

  • Provide expertise and guidance to business units and function on the impacts of software and hardware decisions to contractual compliance

  • Define, maintain, and update policies, procedures and data for effective asset life cycle management (acquisition, deployment, utilization, inventory, de-installation, reallocation and disposal) of IT assets

  • Participate in the evaluation of Asset Management tools in order to recommend those that best meet the organization’s functional and technical requirements

  • Plan the population of the asset database, manage the asset database, central libraries and tools, and ensure regular housekeeping of the asset database

  • Identify opportunities to optimize unused or partially used IT assets to achieve full efficiency and ROI and cost containment from company assets, working closely with other teams across IS

  • Participate in the definition of metrics, gathering data, and reporting effectiveness of IT asset management processes, procedures, and operations

  • Plan and research in order to act at key decision points for Toro’s strategic IS vendors, supporting strong preparation for key negotiations situations

  • Act as a liaison with other departments as necessary to forecast future EUC technology needs

  • Produce IT asset metrics to management as required and identify trends taking proactive steps to correct and mature processes

  • Collaborate with Sourcing teams to negotiate NDAs, trial agreements, software addendums and software maintenance renewals with vendors

  • Review existing software contracts for various licensing terms and record information source of truth for Toro’s key strategic vendors

  • Collaborate with internal legal and tax teams to ensure appropriate Sales Tax self-assessments are made during software and hardware acquisition

  • Procure End User computing Hardware and COTS Software for the enterprise

  • Operationalize asset management activities as needed


  • Budgetary responsibilities in support of asset management processes and procedures

  • Individual contributor and subject matter expert. Partners across the IS function and the broader organization.

  • Interfaces with all levels of management to support negotiations, priorities and outcomes.

  • Travel: <5%


  • 3-4 years of IT, Finance or related experience

  • 1-2 years of Asset Management experience

  • Strong knowledge of IT Hardware and Software Asset Management

  • Ability to accurately maintain asset related data in a timely manner

  • Ability to work with all levels of management

  • Tactical buying experience

  • Ability to build collaborative relationships across the organization

  • Experience participating in governance and controls activities

  • Software contract negotiation and drafting experience

  • Software licensing models and entitlements experience

  • Experience participating in and supporting Request for Information (RFI) and Request for Purchase (RFP) processes and best practices

  • Basic knowledge of Database and Office Technologies (Ex: Microsoft Excel, MS Access, SQL  SharePoint) strong proficiency in the use of formulas and functions

  • Ability to independently maintain asset information and work flow within an IT Service Management Tool

  • Analytical background with strong data analysis skills

  • Proficient in technology and software installation practices

  • Ability to communicate clearly and prepare management presentations (PowerPoint)

  • Ability to make good decisions under time constraints

  • ITIL v3 Certification
