St. Catherine University and the School of Business invite applications for a full-time Administrative Assistant position supporting the Dean and departments.

Our School of Business prepares students to take action in an ever-changing, connected world. This position provides administrative and general office support for the Dean of the School of Business; the undergraduate departments of Business Administration and Apparel, Merchandising, and Design; and the Center for Sales Innovation. This role is the first point of contact internally and externally and has daily contact with students. The Administrative Assistant plays a crucial part in delivering great service to our students and supporting successful degree completion.

The Administrative Assistant manages a variety of tasks serving faculty who are highly dedicated and who have many critical deadlines. Our staff thrive in a dynamic environment where there are shifting priorities and where students are our first priority.

Responsibilities:
  • Provide and lead reception services via phone, email, and snail mail, ensuring a welcoming and positive experience for virtual and in-person visitors.
  • Manage calendars for department leaders including coordinating events, meetings, calls and travel, effectively and accurately juggling many details.
  • Interact with all levels of management, staff, faculty, students and external constituents with diplomacy, professionalism and confidentially.
  • Accurately organize and prioritize multiple tasks and responsibilities with coinciding deadlines, adapting to changing priorities.
  • Manage multiple departmental accounts with active purchasing activities by reconciling accounts monthly, maintaining running balances, and preparing financial reports.
  • Coordinate department related events in a timely and efficient manner.
  • Provide technical support online for video conference meetings, phone conferences, and interviews.
  • Support the administrative business functions of the department by maintaining the website and databases, producing newsletters, and creating various forms of correspondence.
  • Identify and resolve issues and improve process efficiencies.

Minimum Qualifications
  • High School diploma or GED
  • Experience using either the Google suite or the Microsoft office suite and a Publisher program
  • Experience organizing many tasks and projects with conflicting priorities
  • Experience interacting respectfully and effectively with people of all cultures
  • Experience successfully meeting deadlines on time

Preferred Qualifications
  • Intermediate-level experience using both the Google and Microsoft office suites and photo editing, design, database entry, and social media account management
  • Web site editing experience
  • Experience creating and managing data repositories
  • Advanced experience with Excel
  • Office Management experience
