St. Catherine University welcomes applications for a full-time Administrative Assistant position that will support two senior leadership team members, the Senior Vice President for Human Resources, Equity & Inclusion, and the Senior Vice President for Enrollment Management & Athletics.

Our Enrollment Management & Athletics division represents all of our student recruitment efforts, connecting potential students with why St. Catherine University is the right fit. As the first point of contact, the Administrative Assistant represents both division leaders in a respectful and professional manner to internal and external constituents.

Responsibilities:
  • Manage snail mail, email, phone calls and meeting requests, screening for urgent issues and engaging contacts as helpful to gather information and respond to questions.
  • Manage calendars, using independent decision making in finding mutually available times for various groups to meet.
  • Prepare for meetings, record and transcribe minutes at selected meeting groups, summarize meeting feedback and proofread documents as needed.
  • For events, secure space and equipment, order food, prepare invitations and announcements, create agendas and information packets, and manage billing and processing payments.
  • Assist leaders in coordinating large amounts of information and a high volume of requests, some of which may compete for prioritization.
  • Exercise discretion and a high degree of confidentiality.
  • Ensure materials needed for upcoming meetings are prepped and provided.
  • Provide online technical support for video conference meetings, phone conferences, interviews, etc.
  • Organize and maintain paper and electronic filing systems, initiating recurring administrative processes for efficiency.
  • Coordinate projects and assist in the completion of reports by researching and gathering information to create the final product.
  • Accurately prepare and submit monthly expense reports, processing invoices and logging vendor agreements.
  • Demonstrate initiative to anticipate needs and create solutions that are efficient, effective, and professional.
  • Collaborate with the other Senior Leadership Team Assistants and with Administrative Assistants throughout the University.

Minimum Qualifications
  • Experience creating a warm and professional welcome to all.
  • Experience drafting and proofreading respectful and professional correspondence to internal and external customers and constituents.
  • Experience successfully collaborating with partners across a business who all come from a variety of backgrounds, from individual contributors to executives.
  • Experience planning event logistics, solving problems as they arise.
  • Experience managing a wide variety of tasks and projects, operating under tight timelines.
  • Professional experience using Microsoft Office software and the Google suite of products.
  • Experience handling confidential information respectfully and discreetly.
