Work Location: In office or hybrid (in the office 3 or more days per week)

Position Description

This position is responsible to provide executive administrative and project support to the SVP, Public Affairs and Chief Marketing Officer. Also, provide administrative and project support to the Public Policy Officer and Associate Vice President of Business Development. Act as key liaison with internal and external customers.

• Develop and prepare agendas for meetings to ensure maximum productivity and project follow-through. Communicate project status to SVP. Meetings: Prepare materials and agendas for meetings (department, internal, and external). Attend meetings as directed by SVP/Director and record/transcribe minutes at their discretion. Maintain appropriate filing system for minutes and ensure staff have access to them.

• Triage complex Public Affairs issues, including implementing decisions as needed and ensure that appropriate communication occurs with internal and external stakeholders.

• Coordinate logistics for Public Affairs and Regulatory Work Group including scheduling meetings and preparing materials.

• Review state legislative website and coordinate UCare's bill tracker and internal bill review process. Notifies Public Affairs Officer and Public Affairs Manager of internal feedback on bills and maintains their schedules with regular updates as committee hearings are announced. Assists the Department in the conduct of policy research as directed.

• Monitor's meetings and hearings at the legislature and/or state agencies as well as federal phone conferences as assigned.

• Provide administrative support and coordinate logistics for Member Advisory Committee meetings, the Disability Advisory Committee meetings and Empower U events.

• Oversee legislative report summary SharePoint site including updating, posting and monitoring action steps and ensuring new information is cross-referenced in the legislative summary report. Serve as the Public Affairs liaison for the UCare 360.

• Provide administrative support for UCare Champions Program.

• Maintain updated briefing materials provided to legislators and key stakeholders; Develop packets with materials. Research and white paper creation as needed.

• Prepare, process and code invoices, check and/or purchasing request, corporate card statements and expense reports for approval and on-time submission.

• Assist Business Development staff in scheduling internal and external meetings, including cross-departmental RFP project groups/committees, and meetings with consultants and other vendors.

• Other projects and duties as assigned.


High school graduate or equivalent. Completion of a 2-year secretarial program or a Bachelor's degree; demonstrated experience may be considered in lieu of degree.

Required Experience

Five years of administrative experience. Proficient Microsoft Office, PowerPoint, Excel, Outlook and database management.

Preferred Experience

Experience in health care and/or legislative setting.
