Major Function

Coordinate all processes and functions of load planning and freight movement. Process shipment requests, plan and optimize shipments into loads using TMS (Transportation Management System), tender freight to third-party carriers, update TMS with current shipment information and respond to internal and external customer inquiries. Provide visibility to management and the customer by tracking, process over-sight, auditing, researching and troubleshooting operational issues or functions.

Duties & Responsibilities

  • Communicate professionally, effectively, and timely with both internal and external customers/contacts providing detailed instruction to various personnel via email and telephone

  • Communicate late pickups and/or deliveries, as well as any other load changes, to appropriate department personnel

  • Understand daily capacity needs and pro-actively communicate to appropriate teams or providers

  • Coordinate fleet capacity needs with operations leadership to coordinate Network needs/opportunities and execute agreed upon strategic plans

  • Comply with all Department of Transportation (DOT) regulations & safety compliance guidelines; validate driver hours of service to safely and legally facilitate the delivery of loads

  • Coordinate trailer capacity needs with operations leadership to coordinate Network needs/opportunities and execute agreed upon strategic plans

  • Track and monitor trailer pool accuracy

  • Ensure trailer count is balanced across locations to meet demands

  • Reconcile yard checks from both Toro owned facilities and other yards

  • Maintain file/tracking of lost or damaged trailers, track and investigate non-revenue trailers to gain positive control of these assets

  • Coordinate trailer maintenance, inspections and other items for compliance with DOT regulations

Specifications

  • Bachelor’s degree preferred; minimum of high school diploma or equivalent with progressive related experience in analytics, operations systems, or related area will be considered

  • Minimum of two (2) years progressive experience in trucking operations, logistics, information technology, or customer service, required

  • Ability to interact and develop relationships with a variety of contacts

  • Clear and concise communication skills, both verbal and written, critical thinking skills

  • Excellent planning and organizational skills are required

  • Must be tactful, professional, and detail oriented

  • Strong data entry and system navigation skills required

  • Proficiency in Windows and Microsoft Office required

  • Experience with SAP in the Sales and Distribution track and Order to Cash Management a plus

  • Ability to manage large workload and excel at prioritizing and organizing tasks

  • Must be able to work effectively in high pressure situations in a fast paced environment

  • Ability to work independently and make a valuable contribution to team objectives

  • Aptitude to learn rapidly and adapt quickly to changing situations

  • Experience working with a transportation management system preferred

  • Adept analytical thinker with ability to think ahead and successfully analyze different pieces of information and put them together like a puzzle

Job Dimensions

  • Typical office environment as it pertains to lighting, temperature, and noise level when in administrative/operations offices.

  • Dexterity of hands and fingers to operate a computer keyboard and mouse, and to handle other computer components.

  • Reports to the Manager of Transportation Operations.

  • Extensive daily contact with suppliers and external customers, in addition to Manufacturing, Order Services, Sourcing, and Distribution Center personnel within Toro.

  • Maintain accurate trailer records, spreadsheets and databases and report status to ensure all assets maintain legal DOT inspections without fail

  • Conduct root cause analysis on all defects and use these data to drive continuous improvement activities as it pertains to both service and cargo claims

  • Maintain a high sense of urgency in tracking shipments to ensure on time delivery is met

  • Other projects and tasks as assigned
