EXECUTIVE ASSISTANT-CLINICAL SERVICES & PHARMACY

Work Location: In the office or hybrid (in the office 3 or more days per week)

Position Description

This position is responsible to provide administrative and project support to the Vice President of Clinical Services, Associate Vice President of Pharmacy and their respective departments. Provide backup assistance to other Health Services departments as needed, including Quality Management & Population Health and Mental Health/Substance Use Disorder Services. Serve a key liaison with the staff and external customers.

• Provide day-to-day administrative support to VP, Clinical Services and AVP, Pharmacy, including travel arrangements and arranging conference attendance.. Prepare monthly expense reports and credit card reconciliations. Assist staff with any IT Service Desk issues.

• Support and help manage vendor/delegate contracts by facilitating timely routing of any contracts/amendments; oversee day-to-day business communication with assigned vendors including annual/quarterly check-in meetings, oversight activities and performance monitoring.

• Provide administrative support to workgroups and committees, including finalizing agendas, preparing meeting materials, assisting with PowerPoint presentations, taking detailed minutes and routing to participants, requesting stipends as needed, and maintaining SharePoint sites and permissions as needed.

• Coordinate internal and external meetings by finalizing agendas, preparing and routing meeting packets, assisting with meeting minutes, and maintaining appropriate HUB sites.

• Coordinate work flow with Clinical Operations and Pharmacy teams to ensure department policies and procedures are updated at the required frequency.

• Assist Clinical Services and Pharmacy staff to coordinate conference registrations, airfare and hotel accommodations.

• Serve as primary contact for the Clinical Services and Pharmacy SharePoint sites which includes organization of site content and permissions.

• Use software skills to edit and enhance reports and presentations for internal and external audiences.

• Prepare daily calendar and agenda folder for Vice President of Clinical Services, including printing meeting handouts and other documents. Manage visitor interruptions and vendor contacts.

• Responsible for accurate labeling of boxes for off-site storage and maintaining accurate records to ensure compliance requirements are met. Work with Facilities and Mail Services to send/receive stored material when needed. Review off-site storage records annually taking necessary action to maintain or destroy materials.

• Other projects and duties as assigned.

Education

Two-year college or business school degree; demonstrated experience may be considered in lieu of degree.

Required Experience

Three years of administrative experience. Customer service experience. Proficiency at an intermediate level in Word, Excel, PowerPoint and Outlook.

Preferred Experience

SharePoint knowledge, advanced knowledge of Microsoft Office programs including Word, Excel, Visio, Access and PowerPoint
