ROLE

CATF’s Administrative team is responsible for providing excellence in service to support our growing organization with a wide range of administrative support including but not limited to global travel arrangements, expense reports, heavy calendar management, triaging and prioritizing communications, and ad hoc projects. CATF is hiring an Executive Administrator to support the Chief of Brand, Marketing, and Communications (CMO) and their team. This position would be a hybrid remote and in-person at CATF's Minneapolis office. This role serves as a member of CATF’s Administrative team and will provide focused support to the CMO.

Key Functions and Responsibilities:

  • Provide research, insights and thought leadership support
  • Supports the CMO with strategy development, leadership, and implementation processes
  • Directly provide administrative support to the CMO including travel coordination
  • Ensure effective processes and best practices are implemented to support the CMO
  • Coordinate and manage stakeholder relationships and interactions with CMO (internal: leadership, programmatic teams, development, operations; and all external partners: vendors and consultants)
  • Communicate responsively and clearly with a wide range of partners, including members of the program teams, partner organizations and consultants
  • Support the CMO in organizing and executing effective meetings internally and externally
  • Assist with scheduling, agenda setting, and materials preparation; capturing and communicating outcomes, key takeaways, and next steps
  • Assist with strategy drafting and planning efforts
  • Ensure staff follow through on key tasks by providing reminders and offering support as needed
  • Support planning and spearhead execution of special projects such as workshops, meetings, events, and cross-programmatic strategy sessions
  • Ability to work effectively across all time zones to assist with coordination of virtual and in-person meetings, video, audio, location, venue, and other logistics
  • Manage the CMO's schedule, prioritizing attendance at key events and serving as a proxy in some instances when the CMO is not available
  • Support the CMO in the management of communications, receive incoming communication, review content, determine importance, and summarize and distribute content to appropriate staff
  • Manage and optimize travel plans to make the most effective/efficient agenda ensuring CMO maximizes opportunities when traveling; manage travel arrangement and bookings with help of administrative team
  • Draft/prepare items per the request of CMO including presentations, reports, meeting agendas, travel itineraries, etc.
  • Read, synthesize, and draft summaries of important news, thought leadership content, and updates for CMO; a particular focus would be on industry trends, forecasting, and identifying cutting edge engagement strategies and immersive digital environments
  • Synthesize existing CATF knowledge and insight to help support outward facing thought leadership
  • Support CMO in review, tracking and updating budgets (overall budget, special project and campaign budgets, etc.)
  • Synthesize detailed documents and meeting notes into memos, presentations, talking points, and updates for the CATF Leadership team, Board, staff, and other internal communications
  • Serve as a member of the administrative support team / network of CATF, under the supervision of the COO
  • Collaborate with CATF's Administrative team on logistics for team events, webinars, meetings, and other administrative tasks
  • Communicate responsively and clearly with a wide range of partners, including members of CATF's Leadership team, program teams, partner organizations and consultants
  • In coordination with administrative team, learn and implement with Marketing and Communications team best available tools/platforms/best practices

Skills/Qualifications:

  • Bachelor’s degree plus 10 (ten) years of relevant experience required; 12 (twelve) years of relevant experience may be substituted for degree
  • Passion for CATF’s mission; experience in climate, environmental advocacy, and/or politics
  • Self-starter who enjoys taking initiative and helping others
  • Consistent follow-through, deeply organized and committed to high-quality work outcomes
  • Innate ability to streamline, synthesize, prioritize, and communicate ever-changing priorities
  • Exceptional time management skills with superior attention to detail
  • Ability to exercise discretion and independent judgement and successfully work in a remote setting
  • Excellent written and oral communications, high emotional intelligence, and strong interpersonal skills
  • Strong written and verbal command of English required, other languages a plus
  • Flexibility to work across time zones; knowledge and experience with international travel requirements, global geography, and an ability to travel occasionally
  • Advanced technical proficiency working within Microsoft Office Suite, including SharePoint and Teams; Salesforce/CRM and Concur experience preferred
  • Comfortable working within a helix organizational structure
