Ballard Spahr LLP is a national law firm with 15 offices across of the country has an excellent opportunity available for an experienced Legal Administrative Assistant (LAA) with demonstrated technical and administrative skills to work in the Minneapolis office. The chosen individual will have both transactional and litigation experience. The selected individual will assume responsibility with minimal supervision, exercise initiative and judgment to make decisions within the scope of their assigned authority, and both champion and practice collaboration with all firm members and clients. The assistant will work collaboratively to anticipate and respond timely to the needs of the assigned LAA Team and its included fee earners and clients. This position is hybrid and offers a work schedule of 3 days a week in the office.
Responsibilities include but are not limited to:
- Maintaining and processing case information, managing the progression of cases to final disposition.
- Creating electronic files, preparing and processing correspondence, memoranda and complex legal documents, e-filings, and performing other administrative functions.
- Administrative duties include scheduling meetings and appointments, maintaining attorney calendars and contact information.
- New client intake, file maintenance utilizing the firm's electronic records management system.
- Billing, travel coordination and expense reimbursement.
Qualified applicants will be agile, self-motivated and possess strong communication, organizational, and client service skills and be able to multi-task and work cooperatively in a highly collaborative team-oriented environment. Top-notch accuracy, spelling, grammar and proofreading skills are necessary. A willingness to take innovative approaches to administrative support is a plus.
A minimum of 2 years of relevant experience and a high degree of proficiency with Microsoft Office, including Word, Excel and Outlook. This position supports lawyers in our Private Client Services Group (Trust & Estates) with preparing estate planning documents, e-filing pleadings and assisting with probate and trust administration, and our Consumer Financial Services Litigation Group with class actions, regulatory proceedings or other complex litigation. Experience with e-filing, document management and time and billing systems is a plus.
