The Mathematics and Sciences departments is a mission-driven and student-centered program that works to empower women through innovative and inclusive solutions for a more just, equitable, and compassionate world. St. Catherine University is leading the way by launching a trailblazing initiative, Expanding Herizons , to develop more BIPOC women leaders by attracting, retaining and graduating women in STEM . The Administrative Assistant will provide direct support to staff, faculty and students. Responsibilities include :

  • Oversee the day-to-day administrative operations of the division with efficiency and exceptional attention to detail.
  • Serve as the initial contact for information with staff, faculty, students, and external contacts through phone, mail, email and in-person assistance.
  • Build strong and collaborative relationships with departments accross campus.
  • Manage calendar and other general administrative support like supplies ordering, textbooks, purchase requisitions, invoices, payments, monitoring expenses, mail, monitoring department email groups, etc.
  • Perform data entry and retrieval, and maintain program files, reports, and records required for operations and compliance with accreditation bodies.
  • Create letters, forms, spreadsheets charts and graphs, brochures, certificates, and setup databases.
  • Ensure that published program information is current and accurate, particularly for information required for accreditation on the University website.
  • Access Banner to monitor and track student enrollment information.
  • Maintain close working relationships with university offices to assist with program work.
  • Identify and incorporate appropriate technology to support program activities.
  • Draft and prepare correspondence and other administrative materials as needed.
  • Post syllabi, input tests, retrieve and print student papers, enter grades, check student eligibility.
  • Order textbooks, request videos, schedule meetings, reserve rooms and request catering.

Minimum Qualifications
  • High school diploma or GED .
  • Three years of administrative work experience with emphasis on data and/or project management.
  • Ability to interact respectfully and effectively with a diverse community.
  • Proficiency with Microsoft Office and/or Google Suite for Education
  • Willingness to learn new software programs as needed.


Preferred Qualifications
  • Administrative experience within higher education.
  • Budget management experience.
  • Data collection and interpretation skills using tools such as Microsoft Excel, Qualtrics, and Tableau.
  • Social media management experience.
